Job Summary
We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency with office software, and the ability to manage multiple tasks efficiently in a fast-paced environment. Experience in medical or dental offices is a plus, but not required.
Responsibilities
- Greet visitors and clients warmly, ensuring a positive first impression
- Manage multi-line phone systems, directing calls appropriately and taking detailed messages
- Schedule appointments and maintain calendar accuracy using Office and Google Workspace tools
- Perform data entry with high accuracy into various software systems such as QuickBooks and other office databases
- Handle administrative tasks including filing, photocopying, proofreading documents, and organizing paperwork
- Support bookkeeping activities and assist with billing or invoicing as needed
- Maintain a clean and organized front desk area to ensure a professional environment
- Provide excellent customer support by addressing inquiries promptly and courteously
- Assist with administrative projects to improve office efficiency and workflow
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer skills with the ability to learn new software quickly
- Experience with QuickBooks or bookkeeping is preferred
- Excellent organizational skills with attention to detail in data entry and filing processes
- Exceptional phone etiquette and customer service skills, especially when handling multi-line phone systems
- Clerical experience in an office setting, ideally within medical or dental environments
- Ability to multitask effectively while maintaining professionalism under pressure
- Strong typing skills with proofreading capabilities to ensure accuracy of documents
- Knowledge of front desk procedures and administrative best practices
