Fluor Driver is seeking a Proposal Coordinator/Office Assistant to provide assistance and support to various groups within our corporate office. The Proposals Coordinator/Office Assistant reports to and takes direction from the Commercial Manager. The primary responsibilities of this role includes but not limited to:

Providing marketing support
Able to work past normal hours on occasion in order to meet deadlines.
Office facility management
Administrative and secretarial duties
Point of contact for the Landlord and IT provider
Point of contact for Marketing related suppliers
Fluent with MS Word, Excel and PPT
Greet, assist and direct all visitors
Distributes and maintains filing for reports, forms, and other files
Creation of presentation and proposals graphics
Processes incoming and outgoing mail, faxes, couriers, and correspondence
Operates and maintains general office equipment such as copier, fax, and computer
Prepares, revises and processes routine documents
Schedule meetings or appointments, strong attention to detail when taking minutes
Booking travel and accommodation when required
Prepares reports: researches, compiles and summarizes data
Organizes and prioritizes assignments and takes initiative to follow through on pending items
Researches questions and problems regarding departmental policies and procedures.
The responsibility for safety and safe work performance lies with each individual. Each employee must work closely with the job site supervisors to ensure a safe work environment. Refer to Section 2.9.1 of the Fluor Driver Health & Safety Manual for a description of responsibilities.
2-3 years of experience working within, or alongside Estimating and Business Development/Sales departments and 3-5 years of administrative/secretarial experience, proficiency in software applications and additional experience in specialized practices and/or procedures within the company environment.
Undergraduate degree/diploma or certificate in Business or Marketing related program an asset
Ability to work under minimal supervision
Ability to work both independently and within teams
Experience working in the oil and gas or construction industry is an asset
Strong knowledgeable in marketing strategies
Experience managing tight deadlines and holding both yourself and others accountable to those deadlines.
Proficiency MS Office
Strong organizational skills and attention to detail.
Strong writing skills
Experience in the preparation and coordination of bids/proposals is an asset
