We are seeking a dynamic and detail-oriented Operation Administrative Assistant to join our team.

Key Responsibilities:
Tenant Relations
- Assist with all aspects of renting, including unit showings, move-in / move-out.
- Prepare and execute lease agreements and renewals.
- Respond to phone and email inquiries in a timely and professional manner.
- Ensure accurate tenant information is entered into the software program
- Address tenant concerns and complaints, ensuring appropriate follow-up.
- Provide excellent customer service by responding to inquiries, supporting tenants, and ensuring a positive experience for all tenant guests and outside contractors.
Maintenance Administration
- Receive, prioritize and schedule maintenance requests.
- Enter all work orders daily or close off the completed work orders
- Coordinate annual unit inspections.
- Work with maintenance staff and external contractors to ensure timely completion of work.
- Obtain quotes as required.
- Assist with planning routine maintenance and capital improvement.
Financial Administration
- Process rent payments and maintain accurate records.
- Assist with rent collection and arrears, send follow-up letters
- Support administration of the Rent-Geared-to-Income (RGI) program.
- Contribute to the annual budgeting process.
- Assist with other financial activities as needed
Corporate Administration
- Prepare correspondence and communicate with tenants on various matters.
- Draft reports, meeting minutes and general documentation.
- Process all incoming and outgoing mail.
- Assist in creating and updating policies and procedures as directed.
- Maintain office organization and order supplies as needed.
Qualifications:
- Minimum 3 years of experience in office administration within the property management or multi-residential housing industry.
- Post-secondary education in Business Administration or related work experience.
- Familiar with the Residential Tenancies Act, Housing Services Act, by-laws, health & safety for construction, and other relevant legislation.
- Experience with building maintenance, repairs and renovations.
- Strong written and verbal communication skills.
- Possess a professional, friendly, independent and ambitious personality.
- Highly organized with the ability to multitask and meet deadlines.
- Proficient in Microsoft Office applications.
- Strong attention to details and problem-solving abilities.
- Professional, approachable, and confident in handling difficult situations.
- Ability to work independently and under pressure.
Position Details:
Schedule hours: Monday through Friday, 9:00 am to 5:00 pm (occasional evening may be required)
Transportation: reliable transportation required
Start date: September 21, 2026
Compensation: salary will be based on experience.
