The Receptionist is the first point of contact that many people will have with Eminence Organics. Providing Extraordinary Customer Service, the Receptionist answers all calls and directs or assists both Spa Partners and Retail Customers. The Receptionist is also responsible for providing clerical and administrative support to Eminence Organics.
Reporting and Peer Relationships
The Receptionist works in partnership with a second Receptionist, reports to the Lead Receptionist and interacts daily with Team-members at Eminence.
Roles and Responsibilities
Answer all incoming calls within 2 rings – Cisco Call Attendant
Assess and direct callers to the appropriate team or Team-member
Resolve Customer inquiries
Receive, direct and assist guests, couriers, vendors
Review, answer and/or forward emails internally which have been sent to the general Eminence Organics mailbox
Provide assistance with various company-wide administrative tasks
Maintain Office Extension Phone List
Organize and track couriers to ship packages (local and international) in a timely manner
Update addresses and status of returned mail in Customer Relationship Management (CRM) software
Sort and distribute all incoming mail and packages same day
Prepare outgoing mail and drop off at the mailbox daily
Supplies and Lunchroom Management
Monitor usage of supplies and re-order as necessary to maintain adequate stock of office, cleaning and general supplies
Ensure cleanliness and adequate stock levels of supplies in kitchen
Act as the primary point of contact internally and with suppliers and vendors for office and kitchen supplies
Multi-line phone systems – 1 year
Exceptional Customer service and problem resolution experience
Customer Relationship Management (CRM) software experience an asset
Brilliant verbal and written communication skills
Exceptional Customer service skills
Ability to successfully resolve unusual and unique situations
Demonstration of responsibility and ownership – ability to see things through and manage tasks and projects to completion
