Overview
We are seeking a highly organized, adaptable, and detail-oriented Full-Time Assistant to support both executive and operational functions. This role reports directly to the CEO and requires a proactive individual who can manage a dynamic workload, perform site visits, and assist with data and systems management.
This is an ideal role for someone who thrives in a fast-paced environment, enjoys variety in their day-to-day responsibilities, and is comfortable balancing administrative tasks with on-site operational support.
Candidates should have prior office experience and be comfortable handling a variety of clerical and administrative duties. Proficiency with tools such as Microsoft Office, Google Workspace, QuickBooks, and and any POS system is highly desirable.
Responsibilities
- Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events.
- Handle incoming calls via multi-line phone systems with professionalism and excellent phone etiquette.
- Prepare, proofread, and edit correspondence, reports, and presentations ensuring accuracy and clarity.
- Perform data entry, filing, and document management with high attention to detail.
- Assist with bookkeeping tasks using QuickBooks and perform basic financial record keeping.
- Utilize Office experience for document formatting, spreadsheets, and presentations.
- Assist with project coordination and administrative support tasks across departments.
- Maintain confidentiality of sensitive information at all times.
- Provide direct administrative support to the CEO
- Conduct regular site visits to various business locations to ensure operational consistency and gather information
- Work with and troubleshoot POS systems across multiple locations
- Coordinate between locations, management, and head office
- Assist in implementing and improving operational processes
- Manage a variable and evolving workload, prioritizing tasks effectively
Experience
- Prior office or administrative experience is required; experience in clerical or executive support roles is preferred.
- Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools such as Gmail, Docs, Sheets, and Calendar.
- Experience with QuickBooks for bookkeeping purposes is advantageous.
