Position Overview
We are seeking a highly organized and detail-oriented HR Assistant to support the Human Resources department in daily operations. This role works closely with the HR Manager to ensure smooth recruitment, onboarding, employee engagement, and HR administration. Responsibilities include interview coordination, assistance with employment contracts, employee communications, and general HR support tasks. The ideal candidate is professional, reliable, and able to handle confidential information with discretion.
Duties
- Assist the HR Manager with full-cycle recruitment, including job postings, application screening, and shortlisting candidates
- Coordinate and schedule interviews between candidates, hiring managers, and the HR Manager
- Prepare candidate files, interview notes, and supporting documentation for recruitment processes
- Assist in the preparation, review, and organization of employment contracts, offer letters, and HR documents under the guidance of the HR Manager
- Support employee onboarding and orientation processes in coordination with the HR Manager
- Maintain and update employee records, HR files, and internal databases as directed by the HR Manager
- Assist with employee communications and general HR correspondence
- Support tracking of leave records and other employee documentation.
- Assist with performance-related documentation and coordinating the review process.
- Coordinate meetings, training sessions, and internal events with the HR Manager
- Assist with employee engagement initiatives, including birthday greetings, work anniversaries, and other employee milestone recognitions, and new hire communications
- Assist with ad-hoc reports and other HR-related requirements as requested by the Management
- Ensuring compliance with regulatory, legislative, and program-specific requirements, including those related to PTIRU, CRA, employment standards, labour laws, WorkSafeBC, and other applicable policies and regulations.
- Ensure confidentiality, accuracy, and compliance in all HR-related tasks
Qualifications
- 1 year of previous experience in HR, recruitment, or administrative support preferred
- Educational background in Human Resources or a related field is an asset
- Basic understanding of labour laws in BC and HR processes is an advantage
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- High attention to detail and accuracy in documentation
- Ability to follow instructions and work closely with the HR Manager
- Proficient in Microsoft Office or Google Workspace
- Professional handling of confidential information
