The Opportunity:
Stringam Law is seeking a polished and dependable Wills and Estates Legal Assistant to join our Lethbridge office. This role is an excellent opportunity for a legal assistant who values precision, professionalism, and client service, and who is interested in supporting a busy solicitor practice with a focus on estate planning and estate administration.
Key Responsibilities:
- Prepare, draft, revise, and format wills, enduring powers of attorney, personal directives, estate planning documents, correspondence, reporting letters, and related materials with a high degree of accuracy.
- Support estate administration files, including preparing probate and administration documents, gathering required information, coordinating filing requirements, and assisting with file progression.
- Open, organize, maintain, and close physical and electronic client files while ensuring deadlines, limitation dates, and follow-up tasks are diarized and completed.
- Communicate professionally and compassionately with clients, executors, beneficiaries, financial institutions, accountants, government offices, and other third parties.
- Coordinate client meetings, manage calendars, schedule signing appointments, and assist with meeting preparation and post-meeting follow-up.
- Prepare accounts, assist with billing, time entry, cheque requisitions, trust-related administration, and other file accounting tasks as required.
- Conduct conflict checks, support client intake, and contribute to an efficient, organized, and positive file workflow from initial inquiry through completion.
- Provide proactive administrative support to the wills and estates team and contribute to the smooth day-to-day operation of the Lethbridge office.
Qualifications:
- Legal Administrative Assistant diploma or certificate from a recognized post-secondary institution is considered an asset.
- A minimum of 2 years of legal assistant experience is preferred; experience in wills, estate planning, or estate administration would be a strong asset.
- A professional, client-focused approach with the ability to communicate effectively and respectfully with lawyers, colleagues, clients, and external service providers.
- Strong initiative and the ability to learn new concepts, terminology, procedures, and practice-management systems quickly.
- Excellent organizational and time management skills, with the ability to manage competing priorities, meet deadlines, and maintain accuracy in a busy practice.
- Clear and professional verbal and written communication skills, including strong grammar, spelling, proofreading, and document formatting abilities.
- A high level of attention to detail, discretion, confidentiality, and commitment to producing quality work.
- Professional-level Microsoft Word skills and comfort working with electronic document management and practice-management systems.
Compensation & Working Hours:
Stringam Law offers competitive compensation commensurate with experience, along with a comprehensive benefits package that includes medical, dental, prescription drug coverage, life insurance, critical illness, long term disability, vacation, and sick time benefits. This is a regular full-time position, with standard working hours of 8:30 AM to 4:30 PM with an unpaid hour for lunch, subject to change from time to time.
