International Office
CUPE, Term, Full Time
(August 2026 to January 2027)
Reporting to the Director, International (DI), with functional supervision from the International Student Administration Coordinator (ISAC), the International Student Services Representative (ISSR) provides front-line student support and acts as a supporting administrative resource to the International Office.
Responsibilities
Duties will include a broad range of administrative, clerical and service functions that support the current and evolving needs of students and International Education and contribute to the continual improvement of efficiency.
Service and support include, but are not limited to:
- Providing professional and courteous responses and advice to inquiries from students, the public, staff, faculty and other internal and external contacts;
- Assisting students with wayfinding, answering routine questions, and referring students to other departments;
- Maintaining and improving electronic and hard copy filing systems, records and databases;
- Processing requests and forms, including verifying the accuracy and completeness of information, soliciting appropriate approvals, data entry, and record maintenance;
- Proofreading, editing and formatting written materials including general correspondence, promotional and informational materials, and web content;
- Providing an operational level of administrative support and budget monitoring including expense tracking, credit card reconciliations, cheque requisitions and travel claims;
- Assisting with meetings, special projects and event planning;
- Providing administrative support for mobility programs;
- Ensuring the maintenance and distribution of adequate office supplies and equipment;
- Participating in orientation sessions, understanding cultural differences and working to promote diversity;
- Maintaining a thorough understanding of confidentiality, privacy and records management practices, as well as knowledge of the BC Freedom of Information and Protection of Privacy Act (FIPPA);
- Demonstrating a respect for equity and diversity in the UNBC community by ensuring a high level of cultural sensitivity; and
- Special projects and other duties as required.
Qualifications
The successful candidate will possess a one-year certificate/diploma in office or business administration, together with a minimum of two years related experience in a post-secondary environment, ideally within a student services setting.
The successful candidate will demonstrate:
- A thorough and current understanding of the International portfolio, along with strong institutional awareness and the ability to connect students and colleagues with appropriate resources and referrals;
- A strong foundation in administrative procedures and office practices;
- Proficiency with word processing, spreadsheet, database, and email applications, as well as a working knowledge of relational database interfaces;
- The ability to work independently in a busy environment while contributing positively as part of an integrated team;
- Strong organizational and time-management skills, with the ability to manage multiple competing priorities and changing deadlines;
- Flexibility to adapt to changing operational needs and provide coverage for colleagues when required;
- Exceptional interpersonal, communication, and customer service skills, with a demonstrated commitment to providing responsive, student-centred service;
- Knowledge of the Freedom of Information and Protection of Privacy Act (FIPPA); and
- Familiarity with BC Health Insurance and Canadian immigration processes, which is considered an asset.
An equivalent combination of education and experience will be considered.
Salary
This position has been classified at a Grade 5. The annual salary range for this position is $55,091.40 to $57,348.20, and the normal starting salary will be $55,091.40 pro-rated based on length of term.
