We are looking for a dynamic and organized Office Administrator to join our team and contribute to the smooth operation of our office.
We are seeking an experienced Administrative Assistant to provide comprehensive support to our leadership team. Reporting to the Executive Assistant at Bowline Health, The Administrative Assistant position plays a critical role in ensuring the efficient and effective management of daily office operations. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks in a fast-paced environment.
Role Specific Accountabilities
- Support senior managers and executives with daily clerical tasks.
- Plan meetings, take detailed minutes, and manage calendars.
- Schedule appointments and make travel arrangements.
- Manage phone calls, provide information, and connect callers to appropriate people.
- Develop and maintain filing systems, create reports, and prepare presentations.
- Provide general support to visitors and handle inquiries.
- Assist in the preparation of regularly scheduled reports.
- Coordinate office procedures and ensure efficient office operations.
- Demonstrate proficiency in using office software and communication tools.
Qualifications
- Proven experience in general office administration.
- Proficiency in MS Office (Word, Excel, Power Point, Outlook).
- Excellent organizational and time-management skills.
- Strong verbal and written communication skills.
- Ability to multitask and prioritize tasks effectively.
- High level of discretion and confidentiality.
- Ability to interact effectively with individuals at all levels.
- Comfortable learning and adapting to new technologies.
- Familiarity with database management systems is a plus.
- Successfully complete and pass a Vulnerable Persons Criminal Record Check prior to initiating employment and annually thereafter.
