Job Summary:
The Faculty of Education, Community and Human Development is looking for an Administrative Assistant to join their team!
Under the general direction of the Dean’s Office, the Assistant will provide administrative and program support to the Dean and the Assistant to the Dean, including support to all the departments in the portfolio.
Provides front-line assistance as initial contact for internal and external enquiries
Uses initiative and sound judgement to ensure confidential/critical matters are directed or referred to the appropriate authority
Handles and processes confidential materials
Provides assistance to the Dean in all matters in the absence of the Dean’s Assistant
Provides assistance to the departments reporting to the Dean
Provides assistance to the Dean’s Assistant with Instructional Probationary Evaluation process and faculty evaluations
Creates and maintains electronic information databases
Assists with administrative support for Faculty Council and all Faculty Council subcommittees
Provides administrative assistance for new course/program development, program reviews, and program and course revisions and approval processes
Assists with maintenance of all website pages and social media for the Faculty of Education, Community & Human Development, Faculty Council, and Departments, ensuring accurate documentation is maintained
Provides assistance to the Dean’s Office as required for special projects, research, events, and other duties as assigned
Produces a variety of reports from Banner, Student FAST, and/or the Business Intelligence Tool
Creates resource and marketing material
Assists with departmental events and workshops
Maintains area bulletin boards
Qualifications:
Completion of a recognized certificate in office administration from a recognized institution
Minimum three (3) years administrative experience
Advanced knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook) and Adobe
Demonstrated professionalism and ability to maintain confidentiality
Highly resourceful, organized, and with a demonstrated ability to self-initiate
Ability to manage multiple deadlines with a high degree of accuracy and attention to detail
Exceptional interpersonal skills, including the ability to work effectively in a team environment
Excellent written/oral communication skills
Exceptional customer service skills
Experience working in a post-secondary institution preferred
Experience interacting directly with faculty, students, and staff preferred
Experience preparing agenda packages, setting up, taking notes, and preparing minutes for large meetings, following up as needed
Good working knowledge and experience with web design and content management; experience with MyWeb/T4 an asset
Experience in social media administration and content creation an asset
Demonstrated understanding of course and program approval processes at UFV an asset
Experience working with diverse populations
Experience working with Banner, Student FAST, and/or the Business Intelligence Tool an asset
Experience planning events and workshops
