Prompton Real Estate Services Inc. is a Vancouver-based property management company managing 2,000+ residential units across Metro Vancouver. We're a close-knit, fast-moving team looking for someone to join our office in a key, varied support role.
We're hiring an Administrative Coordinator to be a key point of contact for our clients and a steady hand behind the scenes. You'll help answer questions about account activity and finances, keep our internal systems and records organized, and make sure day-to-day operations run smoothly.
We're looking for someone with real experience under their belts, not just someone who can execute the day-to-day, but someone confident enough to spot a better way of doing things, speak up about it, and help drive that change with our team.
You'll receive hands-on training on our systems and processes as you ramp up, with ongoing support from our Senior Administrative Coordinator and the Director of Property Management.
What You'll Do

Be a go-to contact for clients with questions about their account activity and finances

Manage the back end of our property management software — accounts, records, and day-to-day troubleshooting

Monitor account balances and insurance renewals, following up with clients and vendors as needed

Handle time-sensitive client communications related to municipal tax programs and property assessments

Coordinate office technology and vendor accounts

Provide backup coverage at the front desk when needed

Flag anything unclear or time-sensitive to the Senior Administrative Coordinator or Director promptly

3+ years in an administrative, coordinator, or operations support role

Comfortable learning new software and systems quickly

Able to read and explain financial statements confidently (account statements, balances)

Genuine leadership qualities — someone others naturally trust and look to, even without direct reports

Confidence to identify gaps or inefficiencies, speak up about them, and help push improvements through

Organized, reliable, and comfortable managing several recurring tasks at once

Clear, confident written and verbal communication with clients and the team
