The Central Alberta Office of the Alberta Professional Learning Consortium is seeking an energetic, pro-active professional with strong multitasking abilities and an eye for detail for the part-time position (0.4 FTE) of Administrative Assistant. Operating on a typical schedule of 4 half-days per week (210 working days/year), this position offers a flexible hybrid work arrangement. The successful candidate will have the ability to work from home while remaining available for key onsite events (Red Deer & Edmonton) and office management in Ponoka.
Key Responsibilities
Under the direction and supervision of the Director, the Administrative Assistant is responsible for facilitating efficient office operations, coordinating key events, providing technology & communication support, and overseeing logistics for Consortium initiatives and external contracts.
Event Coordination
- Book event space in external/internal venues as needed (arrange food and beverage, audiovisual equipment, supplies, etc.). Modify event venue arrangements as required.
- Prepare session materials and name tags for learning opportunities as required.
- Assist with on-site coordination as needed (typically 2 - 5 in-person sessions/year).
- Resolve event problems and inquiries.
- Provide support for the Alberta Rural Education Symposium organizational committee.
Technology Support
- Moderate online Zoom sessions as needed (this may require adjusting the typical work day hours to accommodate after-school sessions).
- Support on-line session logistics (schedule, provide Zoom links, forward recordings, etc.)
Communications
- Assist the Director with external communications (including but not limited to: developing session advertising posters, posting advertising on social media, populating newsletter templates, and distributing monthly communications.)
Office Operations Support
- Gather Central Office mail and forward as appropriate.
- Order office supplies as directed.
- Respond to general email inquiries.
- Liaison with the Executive Assistant regarding session logistics and provide support as required.
Supports for the Executive Director
- Assist in coordinating and hosting The Consortium display table at the Central Alberta Teachers’ Convention in Red Deer.
- Support the Director with staff recognitions and celebrations.
- Other duties as assigned by the Director.
Competencies & Qualifications
Qualifications:
- Degree, diploma or certificate in administration, business or office administration or related field. An equivalent combination of education, training, and experience will be considered.
- Proficiency with technology and web-based platforms including the ability to effectively operate within the Google Workspace (gmail, Google Drive, Google Calendar, document sharing, sheets, tasks, forms), Zoom and Canva.

Compensation
- Annual compensation grid based on qualifications and years of experience.
- Salary is inclusive of: 210 scheduled working days, Statutory Holidays, 25 days of paid vacation (typically during summer months)
