Recently acquired by a private equity firm, the organization is entering a period of accelerated growth and transformation. It is scaling rapidly, with plans to expand its workforce from 400 to approximately 2,000 employees over the next 12–24 months.
The company currently manages a large portfolio of contracts across North America, reflecting a strong and growing presence in the sector. Its strategic focus is on expanding U.S. operations, increasing bid volume, and enhancing its ability to deliver at scale.
As part of this growth phase, the organization is also advancing its governance, compliance, and operational maturity to support a larger, more complex business footprint while maintaining high standards in project execution and regulatory alignment.

Position Summary:
The Contract Compliance / Proposal Coordinator provides critical support to Director of Contract Compliance for Canada & USA, assisting with all phases of the contract lifecycle from bidding and proposal development through execution and archiving. This role is fast paced which involves a high level of confidentiality and requires strong organizational, technical writing, and time-management skills. The Contract Compliance / Proposal Coordinator will coordinate compliance submission requirements across multiple bids with varying timelines with a strong focus on quality, accuracy, and deadline adherence and assist with obtaining contractor licenses and prequalification.
Work Location & Hours:
- 5 days in office On-site position (not hybrid or remote)
- Preferred office hours:
o 8:00 AM to 4:30 PM or
o 8:30 AM to 5:00 PM (Monday to Friday)
- Flexibility to work beyond regular business hours may be required to meet critical bid submission deadlines
Required Qualifications:
· Minimum 3-5 years of experience in proposal and prequalification preparation
· Strong technical writing skills
· Demonstrated ability to work in a fast-paced, deadline-driven environment
· Advanced proficiency in Microsoft Word, Excel, and PowerPoint
· Excellent organizational skills with a high attention to detail
· Ability to work collaboratively across departments and with external stakeholders
· Post-secondary education in business, marketing, communications, or a related field is considered an asset
Responsibilities include:
- Track and assist with proposal deadlines, submission requirements, and delivery logistics to meet bid submission deadline
- Research and analyze compliance requirements of prospective clients; assist in developing internal programs to meet those requirements
- Experience with proposal qualification
- Participate in bid strategy discussions and proposal planning meetings
- Support the development of proposal content in line with RFP/RFI, ensuring corporate materials align with company branding and messaging, into a polished, high-quality, and cohesive proposal document, coordinate input with internal departments
- Request bonds and insurance
- Support the completion and submission of Contractor Licenses and Prequalification
- Maintain accurate and up-to-date records of bids, License Applications and Prequalification submitted and results
- Assist with review, coordinating documents and submission of Contract Award documents to clients
- Prepare and distribute Subcontractor Sub Agreements and monitor compliance
- Liaison with internal departments to align policies procedures with the contract specifications for awarded projects
- Support internal and external audits by maintaining thorough and organized contract compliance documentation
