PAYROLL AND ADMINISTRATIVE ASSISTANT

We are seeking a detail-oriented and organized Payroll & Administrative Assistant to join our team. Reporting to the Accounting Coordinator, this role is responsible for processing payroll, supporting accounts payable functions, and providing general administrative support to ensure smooth day-to-day office operations. The ideal candidate has strong knowledge of payroll practices and employment standards, is comfortable multitasking in a fast-paced environment, and takes pride in accuracy and reliability. Who We Are
Miller Capilano Maintenance Corporation (MCMC) is the highway maintenance contractor for the incredible Sea to Sky Highway in Southwestern British Columbia. This critical highway connects the edge of Greater Vancouver to one of Canada’s most scenic roadways. Our team is responsible for the continuous maintenance and operation of the highway, ensuring the upkeep of all pavement, structures, signage, and much more. In addition to our highway services, we proudly operate a dedicated paving and road resurfacing fleet.

Capilano Highway Services is a local, family-run company that has been in operation in this part of the province for fifty years. Key Responsibilities
Payroll
- Enter employee timecards into the payroll database
- Enter various premiums based on hours of work
- Approve request for leaves and email to employees
- Determine overtime parameters
- Review and submit payroll to the bank for EFT
Accounts Payable
- Match purchase orders with payables invoices, code, and prepare for approval
- Enter approved invoices, and print cheques
- Reconcile quantity/time tickets with invoices
- Speak with vendors on payment status
- Reconcile monthly statements
Administrative
- Maintain a polite phone presence while accurately documenting and passing along information to the appropriate party
- Coverage of other positions while coworkers are on leave
- Photocopy, fax, scan, and file documents
- Prepare bank deposits and deposit cheques
- Assist in preparation of Chargeable Maintenance Costs (CMC’s) to Ministry of Transportation
- Other duties and responsibilities as assigned
What We Are Looking For
- A minimum of 2 years’ experience in an administrative field
- Strong phone communication and note-taking skills
- Ability to support other positions while coworkers are on leave
- Knowledge of employment standards, hours of work and overtime regulations
- Construction and/or Highway Maintenance experience is an asset
- Post-secondary education, preferably in business administration or a related field
- Proficiency in MS Office – Word and Excel
- Strong written and verbal communication skills
- Excellent organizational skills with the ability to multi-task
- Ability to work in a team environment with minimal supervision

Pay: $56,000.00-$61,000.00 per year
