Position Summary
The Accounting Clerk / Administrative Assistant is responsible for the accurate and timely processing of payroll, vendor accounts payable, and providing administrative support to management and operational teams. This role requires a high level of accuracy, confidentiality, and organization to support payroll administration, accounts payable, employee records management, and general office operations within a construction environment.
Key Responsibilities
Payroll Administration
- Process weekly payroll in accordance with company policies and applicable legislation.
- Review and verify employee timesheets, attendance records, and payroll-related documentation.
- Maintain accurate payroll records and employee files.
- Prepare Records of Employment (ROEs) and other payroll-related documentation as required.
- Maintain confidentiality of payroll and employee information.
Accounts Payable Administration
· Receive, review, and enter high-volume vendor invoices into the accounting system.
· Match purchase orders and receiving documents with invoices to verify accuracy
· Reconcile vendor statements and resolve billing discrepancies or inquiries.
Administrative Support
- Provide administrative assistance to management and project teams.
- Answer and direct incoming telephone calls and emails.
- Maintain organized electronic and paper filing systems.
- Coordinate travel arrangements, accommodations, and meeting schedules as required.
- Manage office supply inventory and place orders as needed.
- Support the preparation and distribution of company communications.
- Maintain employee personnel files and administrative records.
Human Resources Support
- Assist with employee onboarding and offboarding processes.
- Prepare employment-related documents and maintain employee records.
- Assist with benefit enrollment and employee documentation.
- Support recruitment activities, including scheduling interviews and processing applications.
Qualifications
Education
- Diploma or Certificate in Payroll Administration, Accounting, Business Administration, or a related field is preferred.
Experience
- Minimum 2–3 years of payroll and administrative experience.
- Experience in the construction, mining, or industrial sectors is considered an asset.
- Experience processing payroll for hourly employees and multiple work locations is preferred.
Knowledge and Skills
- Strong understanding of payroll practices, employment standards, and payroll legislation.
- Proficiency with payroll software and accounting systems.
- Advanced Microsoft Office skills, particularly Excel, Word, and Outlook.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality and exercise discretion.
- Effective written and verbal communication skills.
- Ability to work independently and prioritize competing tasks in a fast-paced environment.
Working Conditions

Pay: $22.00-$28.00 per hour
