PREFERENCE WILL BE GIVEN TO INDIGENOUS CANDIDATES. APPLICANTS MUST SELF-DECLARE ON THEIR COVER LETTER/RESUME AS INDIGENOUS (FIRST NATION, METIS AND/OR INUIT).
MINIMUM FORMAL EDUCATION/TRAINING:
- Completion of a formal training program in a related discipline from a recognized institute is required.
EXPERIENCE:
- Four years of directly related office experience is required.
- Experience working with Indigenous peoples, Elders, Survivors, organizations, and communities is required.
- Directly related administrative experience is required.
- Experience with statement gathering or related experience in collecting oral history or stories from communities is an asset.
- Experience working with community-based organizations who are involved in education, public programming and outreach is an asset.
- Experience with video and/or audio productions is an asset.
- An acceptable equivalent combination of education and experience may be considered.
SKILLS AND ABILITIES:
- The ability to work with Residential School Survivors and their families is required.
- The ability to engage in tactful and diplomatic behaviour is required.
- Good English oral and written communication and interpersonal skills are required.
- Good organizational skills and attention to detail required.
- Capacity to work in both a team and individual based environment is required.
- Knowledge of Microsoft Office (Word, Excel, Power Point, Outlook) is required.
- Ability to learn in-house University software systems (Concur and EPIC) is required.
- Ability to adapt to a cross-cultural setting is required.
- Ability to be conscientious, professional, responsible and reliable is required.
- Ability to exhibit comfort, ease, and excellent judgment working at a senior level with internal and external communities is required.
- Positive, pleasant and courteous manner is required.
- Satisfactory work record, including satisfactory attendance and punctuality is required.
- Ability to adapt to changing environments and circumstances is required.
- Knowledge and understanding of Indigenous communities, governments and organizations is an asset.
- Knowledge and sensitivity to Indigenous cultures and cultural practices is an asset.
- The ability to apply a trauma-informed approach with previous experience/training is an asset.
- Knowledge of video and/or audio production is an asset.
OTHER JOB RELATED QUALIFICATIONS:
- A Class 5 driver’s license is an asset.
- Ability to speak French and/or an Indigenous language is an asset.
- Knowledge of University policies/procedures is an asset.
- Schedule appointments, arrange meetings and update calendar for statement gathering coordinator and gatherers.
- Daily review of mail, email, and phone messages - answer or redirect inquiries as appropriate.
- Make travel arrangements and prepare travel claims for statement gathering coordinator and gatherers.
- Prepare, update, and assemble materials for meetings, presentations, and reports.
- Take minutes in meetings as required.
- Review telephone and cell phone bills and submit for reimbursement.
- Arrange external contractor services as needed through EPIC or service agreements.
- Complete administrative tasks as required in accordance with University of Manitoba policies.
- Responsible for following office protocols for record keeping and financial management as needed and assigned.
- Assist with project implementation as directed – for example, facilitate coordination and communication between partners and collaborators.
- Submit invoices as required for travel expense reimbursements.
- Engage with Indigenous communities (governments, organizations, community members) through ongoing communication of activities and gathering information about community activities.
- Provide on-site support for statement gathering events.
- Work closely with Statement Gathering Coordinator to support video and audio productions.
- Engage with speakers and/or participants to arrange reimbursements, honourariums, and other paperwork.
- Arrange external contractor services as needed through EPIC or service agreements.
- Complete administrative tasks as required in accordance with University of Manitoba policies.
- Provide on-site support for production.
- Other duties as assigned or required.
Please note that this is a part-time position and requires 100% on-site attendance (fully on-site). The regular work schedule is 25 hours per week, Monday to Friday, from 8:30 a.m. to 2:30 p.m.
