The Opportunity
This position combines senior-level bookkeeping, accounting, payroll, tax compliance, year-end preparation, and team leadership.
You will manage your own portfolio of healthcare clients while also supporting junior staff, reviewing work, assisting with training, and ensuring every client file meets Stellar Accounts' quality standards.

Key Responsibilities
Full-Cycle Bookkeeping
- Manage a portfolio of approximately 10–20 dental and medical clinic clients.
- Complete monthly bookkeeping from start to finish.
- Perform bank, credit card, loan, and balance sheet reconciliations.
- Maintain accurate general ledgers and supporting documentation.
- Record and reconcile complex transactions with exceptional accuracy.
- Ensure every client file remains complete, organized, and audit-ready.
Healthcare Revenue Reconciliation
- Reconcile insurance payments, patient payments, and outstanding balances.
- Allocate revenue accurately between providers, hygienists, associates, specialists, and clinic owners.
- Prepare associate fee calculations and provider reconciliations.
- Investigate discrepancies until fully resolved.
- Work with practice management software such as Dentrix, Tracker, Cleardent, Jane, or similar platforms.
Payroll & CRA Compliance
- Process payroll using ADP, Ceridian Dayforce, Payworks, Wagepoint, QuickBooks Payroll, or similar systems.
- Prepare payroll remittances and reconcile payroll liabilities.
- File WorkSafeBC (WCB) reports and annual reconciliations.
- Prepare and review T4, T4A, and T5018 slips.
- Ensure payroll remains fully compliant with CRA legislation.
GST, PST & Government Filings
- Prepare GST/HST and PST returns.
- Reconcile tax accounts.
- Ensure all government filings are accurate and submitted on time.
- Research and resolve CRA notices and discrepancies when required.
Year-End Accounting
- Prepare complete CPA-ready year-end working paper files.
- Complete lead schedules and supporting reconciliations.
- Prepare adjusting journal entries.
- Reconcile shareholder loans, payroll liabilities, GST accounts, retained earnings, and intercompany balances.
- Ensure every year-end package is complete before submission to external accountants.
Financial Reporting
- Prepare monthly financial statements.
- Analyze financial performance.
- Identify unusual transactions and accounting issues.
- Present financial reports confidently to clinic owners.
- Communicate recommendations and explain financial results in a clear and professional manner.
Leadership & Team Support
- Review work completed by junior and intermediate bookkeepers.
- Mentor and train team members.
- Help improve bookkeeping procedures and internal workflows.
- Assist with technical accounting questions.
- Ensure quality standards are maintained across the team.
- Support the owner with operational and accounting matters as the company grows.
Required Qualifications
Work Authorization Mandatory
Stellar Accounts Corp requires all candidates to hold Canadian Permanent Residency or Canadian Citizenship. We are unable to sponsor work permits or support work visa applications at this time. This is a firm requirement; please confirm your status in your application.
Education Mandatory
- Master of Business Administration (MBA) with a concentration or focus in Accounting is required. This is not an asset; it is a condition of employment. All current members of our team hold this designation, and we are maintaining that standard.
- A CPB (Certified Professional Bookkeeper) designation is a strong additional asset.
Experience
- Minimum 5 years of Canadian work experience, with at least 3–4 of those years in a bookkeeping role.
- Minimum 2 years of bookkeeping experience specifically within dental or medical clinic environments (3+ years strongly preferred).
- Demonstrated experience managing multiple client files simultaneously with a consistently high degree of accuracy.
Software Proficiency Required
- QuickBooks Online (including QBO Payroll)
- Sage 50
- Microsoft Excel — Expert level. Pivot tables, VLOOKUP/XLOOKUP, complex formulas, and custom reconciliation models. This is non-negotiable.
- Dental/Medical Practice Management Software: Dentrix, Cleardent, and/or Tracker
- Canadian Payroll Platforms: ADP, Ceridian, and/or Payworks
Knowledge & Skills
- In-depth understanding of Canadian payroll legislation, CRA source deduction requirements, T4 preparation and verification, and WCB filing.
- Thorough working knowledge of insurance billing reconciliation in dental and medical clinic environments.
- Ability to prepare and present monthly financial reports with confidence and clarity to non-financial audiences.
