We are a registered charity located in beautiful Canmore, Alberta. We serve individuals and families across the Bow Valley and we are a dedicated and growing team. In addition to our programs in community, we are also building a new centre, the Pestell Centre for Compassionate Care, here in Canmore.
The Role
The Fund Development Coordinator plays a key role in advancing Bow Valley Palliative’s fundraising efforts that make our work in community possible. This role coordinates with programs and operations and oversees the systems, processes and details that keep our philanthropy program organized, effective and moving forward.
Through strong donor stewardship and exceptional attention to detail, you’ll help build the relationships and systems that help our entire team thrive and help us continue to serve our community.
Fund Development Support
- Be the first point of contact for donors, community members, event participants, and partners.
- Handle inquiries with warmth, professionalism, and discretion.
- Capture donor interactions accurately in eTapestry.
- Prepare donor materials for the Director of Philanthropy and the CEO including proposals, gift agreements, stewardship reports, and presentations.
- Support grant applications and reporting.
- Assist with fundraising events including Golf for Hospice and engagement activities as needed.
Donation Processing
- Process donations including cash, cheques, phone, and drop-in gifts.
- Ensure gifts meet CRA receipting requirements and donor intent is documented clearly.
- Issue charitable tax receipts accurately and on time.
- Follow internal controls for handling and depositing funds.
Database and Records Management
- Maintain accurate donor records in eTapestry.
- Generate reports and data exports as requested.
- Scan and organize documents in SharePoint and eTapestry.
- Support donors with profile updates and preferences.
What We Are Looking For
- Experience in non-profit administration, fundraising coordination, or a related role.
- Comfort working with databases. Experience using donor databases such as e-Tapestry is considered an asset, however training will be provided on different systems.
- Strong administrative and organizational experience with high attention to detail.
- Experience handling confidential information responsibly.
- Proficiency with Microsoft Office and digital filing systems.
- The ability to build trust and rapport with people, especially in sensitive situations.
- Excellent judgement, discretion and the ability to treat others with respect and dignity.
- Strong organizational skills and demonstrated success in balancing multiple priorities.
- Ability to work well in (and collaborate in) a team environment – within fund development and across the organization.
- Proficient in managing donor inquiries, errors, or process breakdowns.
- Examples of initiative, follow-through, and system improvements.

Work Details
- Permanent, full-time role. 40 hours per week. This is a full-time position, however we recognize the value of flexibility and are open to discussing a part-time arrangement for the right candidate.
- Based in Canmore with hybrid flexibility (some in office required). Because of the nature of this role, preference will be given to candidates who live in the Bow Valley. We will also consider qualified candidates from surrounding communities.
- Reports to the Director of Philanthropy.
