Duties

The Receptionist is the first line representative for Centre for Behavioural Studies. The Receptionist answers inquiries via telephone, email and in-person from clients, caregivers, college staff, students, and the general public by providing information about the Centre and the programs and services that are provided. The position triages requests for service to appropriate clinicians, schedules appointments, ensures appropriate and required paperwork is completed and filed for each client and at each appointment and manages waiting lists for services. The position provides clerical and administrative support for the staff in the Centre including maintaining records and client files and invoicing clients for services. The position works closely with the Centre Manager to organize the office, arrange meetings, maintain files and records, arranging for mail and courier services, assisting with event planning, photocopying, maintaining purchase order files as well as performing general office duties.

Qualifications

A two-year post-secondary diploma in Office Administration – Health Services or equivalent is required. A minimum of three years of demonstrated experience as a receptionist working with the public along with general clerical skills is required. Experience in providing customer service and communicating effectively with clients. Experience working with office computer software packages. Experience scheduling and invoicing clients in a health or social services environment. Proven experience working with sensitive and confidential client files and information. Proficiency in computer applications including word processing and spreadsheet (Word, Excel), email communications (MS Outlook), student/financial information system (PeopleSoft preferred). Solid understanding of office procedures and practices. Ability to effectively triage service requests. Effective interpersonal, listening and communication skills (written/verbal) and sensitivity to client needs. Effective time management and organizational skills to establish priorities and meet deadlines. Salary and Terms

Payband D: Part-Time 3 days per week (21 hours)
Hourly Rate: $22.36 per hour + 6% vacation pay
