We are seeking a proactive, dynamic and highly organized Executive Administrative Assistant to join our team. Responsibilities
- Manage and maintain the C.E.O, and other company-wide calendars using Microsoft Outlook Calendar, scheduling meetings, appointments, and travel arrangements efficiently.
- Organize and manage the executive task dashboard, ensuring nothing slips through the cracks and all stakeholders are kept up-to-date.
- Handle incoming calls with professionalism, utilizing multi-line phone systems and practicing excellent phone etiquette.
- Prepare, proofread, and edit correspondence, reports, and presentations to ensure clarity and accuracy.
- Perform data entry tasks accurately using Microsoft Office tools and Google Workspace applications, maintaining organized digital and physical filing systems.
- Assist with bookkeeping activities, including invoicing, time-entry, expense tracking, and basic financial record keeping.
- Coordinate front desk activities such as greeting visitors, managing office supplies, and overseeing general office operations.
- Support document signing processes through DocuSign and facilitate communication between team members via email and other digital platforms.
Skills
- Proven experience with office administration, clerical tasks, or executive support roles.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent typing speed and data entry skills for efficient document processing.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Drive), and Office experience.
- Knowledge of basic bookkeeping practices for basic financial management.
- Exceptional customer service skills to interact positively with clients, vendors, and internal teams.
- Attention to detail for proofreading documents and maintaining accurate records.
- Familiarity with multi-line phone systems, filing procedures, and front desk responsibilities.

Pay: $20.00-$25.00 per hour
