EPICare Medical is a family practice clinic currently serving the community of Waterdown. We are currently looking to add to our EPIC team and are on the market to hire Medical Administrators to join us as we embark on an exciting journey to grow our practice. The ideal candidate should have experience working in a fast-paced primary care setting, is comfortable with the full range of Medical Administration duties and is a team player willing to roll up their sleeves and become a part of the transformational efforts this clinic is currently undergoing. Goals
- Optimize Patient Experience: Create a positive experience for every patient that interacts with the clinic by providing professional service, addressing their concerns and being solutions-driven.
- Increase Administrative Efficiencies: Identify potential gaps in the current administrative processes and take initiative to optimize these practices.
- Support the clinical team (Physicians, Physician Assistants, etc.) and other Service Providers: Provide assistance to the service providers to aid in increasing the quality of care administered to patients.
Role Specifications
- Creates a welcoming atmosphere by greeting visitors and patients to the clinic
- Checks in and checks out patients in a timely and professional manner
- Outstanding phone management skills: manages a multiline telephone system efficiently and politely, minimizing hold time and/or call backs when possible
- Comforts patients by answering any questions or concerns they may have using de- escalation techniques and focusing on solution-driven approaches.
- Expedites patient processing by completing routine clinical processes prior to their appointment with the clinical team.
- Maintains patient accounts by verifying insurance information, healthcare details and coordinating with relevant organizations for payments
- Supports tracking and management of all referral activity for patient care while keeping patients informed about specialist appointments and required documentation
- Keeps the clinical team (family doctor, physician assistant, allied health professionals, etc.) and other support staff updated of scheduling, patient details, and potential service delays
- Helps maintain inventory; place orders for office/medical supplies and schedule services for routine equipment repairs
- Protects and maintains patients’ rights to confidentiality as per HIPAA compliance standards.
- Coordinates various services to optimize patient care processes.
- Helps respond to medical emergencies, if deemed necessary and where clinically appropriate
- Complies with all Covid-19 and other Health and Safety protocols/practices to ensure a safe environment for all staff and patients

Education and Experience
- Bachelor’s degree preferred; Associate’s degree considered.
- At least 2 full years of direct experience as a medical office receptionist in a fast-paced clinic, hospital, or similar healthcare setting.
- Must be able to multitask effectively and efficiently; critical time management and organizational skills are necessary
- Understanding of basic healthcare terminology
- Demonstrated ability to interact with healthcare professionals, patients, and insurance companies
- Excellent customer service and communication skills ;
- Strong proficiency in the English language
- Computer skills required; working knowledge of Google/Microsoft Office Suite
- Familiarity with phone systems and EMRs (Electronic Medical Record Systems), specifically Oscar or Avaros would be an asset.
Job Type: Casual
Pay: $18.00-$22.00 per hour
