Overview
We are seeking a detail-oriented and organized Bookkeeper/Administrative Assistant to join our team. This role offers an excellent opportunity for individuals with strong office experience and proficiency in various administrative and bookkeeping tasks. The ideal candidate will be responsible for managing financial records, supporting daily office operations, and providing exceptional customer service in a professional environment. Prior experience with medical or dental offices is a plus, but not required. This position is essential in maintaining smooth office workflows and ensuring accurate record-keeping.
Duties
- Manage bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and financial reporting
- Perform data entry with high accuracy to maintain up-to-date financial and client records
- Handle front desk responsibilities, including greeting visitors and managing multi-line phone systems
- Provide administrative support such as filing, photocopying, and organizing documents
- Assist with appointment scheduling and coordinate calendar activities using Microsoft Office and Google Workspace tools
- Support customer service efforts by responding to inquiries via phone or email with professional phone etiquette
- Proofread documents for accuracy and clarity before distribution
- Maintain organized filing systems both digitally and physically
- Support medical or dental office operations as needed, including patient check-in/out and insurance documentation
- Perform general clerical duties to support office efficiency and workflow
Qualifications
- Proven experience with QuickBooks, Microsoft Office (Word, Excel, Outlook), and Google Workspace applications
- Strong computer skills with the ability to learn new software quickly
- Previous clerical or administrative experience, preferably in a medical or dental setting
- Excellent organizational skills with attention to detail and accuracy in data entry and record keeping
- Effective communication skills, including professional phone etiquette and customer support experience
- Ability to multitask efficiently in a fast-paced environment
- Experience with filing systems, front desk operations, and multi-line phone systems is preferred
- Knowledge of medical or dental office procedures is a plus but not mandatory
- Demonstrated ability to proofread documents carefully and maintain confidentiality of sensitive information
