Your Opportunity:
Working under the general supervision and guidance of the Supervisor, Health Information/Records Management, this Administrative Support II - Records Management position provides operational administrative support for the Records Management section of Health Information Management. Within a team environment the incumbent is responsible for performing activities which directly support the security, maintenance and integrity of the patient record through the life cycle regardless of medium (electronic and/or paper). Essential functions of the position: receives all discharge records and performs reconciliation process. Performs Verification on all documents prior to filing regardless of medium (paper/electronic) to ensure integrity of the patient record. Responsible for inpatient and ambulatory chart or record processing with assembly tasks and filing of diagnostic and treatment reports. Filing of all patient records into permanent file. Responsible for retrieval and preparation of patient records for research, studies, clinical trials, education, teaching; evaluation and chart review request activities; as well as clinical quality improvement initiatives. May be required to train to assist with vacation/relief coverage for Administrative Support III position in the department: Reception/Front Desk which includes physician curtailment and Inpatient Assembly with Quantitative Analysis (Verification/Validation) and the deficiency management activities. This position will also support Connect Care activities with respect to education and training for the Waves by providing coverage to backfill staff attending courses, on line training/modules, play or practice environment as well as User Acceptance Training. Performs other duties as assigned.

Required Qualifications:
Completion of Grade 12 or equivalent.

Additional Required Qualifications:
Typing speed of 40 wpm required with testing prior to interview. Strong computer skills including proficiency with Microsoft Office programs (Word, Excel, and Outlook) required. Ability to maintain confidential information. Must be able to set and organize own work priorities and adapt to change. Must be able to work concurrently on a variety of tasks/projects in an environment that may be stressful with individuals having diverse personalities and work styles. Team player with demonstrated ability to work within a team environment, modeling behaviors that support and contribute positively to team operations and working relationships. Ability to work independently with minimal supervision. Must be physically able to perform duties involving standing, sitting, bending, reaching and stretching for extended periods of time. Must be able to lift/push/carry up to 50 lbs. and be able to push and pull charts out of mobile shelving. Performs all functions with a high degree of accuracy and maintains or exceeds established productivity standards. Applicants selected for an interview will be required to take the typing test.

Preferred Qualifications:
Post-secondary education applicable to position – MOA/Unit Clerk/Admitting Clerk. Equivalent combination of education and experience may be considered. Medical Terminology an asset. One (1) year related experience in a hospital or medical office setting. Experience with computer applications common to Health Records (e.g. PCIS, VAX, Tandem, Netcare, PowerTrac, PowerMonitor, eCLINICIAN) is preferred. Experience working with a terminal digit filing system or straight numerical filing system.
