Job Summary
Providing administrative and operational support to a commercial real estate broker. This role involves managing communications, coordinating transactions and listings, preparing marketing materials, maintaining databases using Hubspot (training provided) among other formats, and ensuring smooth day-to-day operations. The ideal candidate is detail-oriented, organized, and able to handle multiple priorities in a fast-paced, client-focused environment.
Key Responsibilities
Administrative Support
· Manage the broker’s calendar, appointments, and meeting coordination.
· Prepare correspondence, proposals, reports, and presentation materials.
· Handle communications, emails, and client inquiries with professionalism and discretion.
· Maintain organized digital and paper filing systems.
Transaction & Listing Coordination
· Assist in processing listing agreements, purchase, sale and leasing offer documents and related forms.
· Track deal progress from listing to closing, ensuring all deadlines and documentation are met.
· Liaise with clients and other parties involved in transactions.
Marketing & Research
· Create and coordinate updates to property marketing packages, flyers, and online listings (Centris, LoopNet, MLS, CoStar, Spacelist etc.).
· Maintain the broker’s database of available properties, clients, and prospects.
· Conduct market research and gather property data for space searches and market surveys for clients.
· Create content and support social media and digital marketing initiatives.
· Site visits to take pictures and measurements etc. to create marketing materials.
Qualifications
· Some administrative experience, ideally in commercial real estate.
· Skills:
o Strong organizational and multitasking abilities.
o Excellent written and verbal communication.
o Bilingual (French & English) spoken and basic written.
o Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and CRM systems.
o Familiarity with real estate platforms (Centris, CoStar, Spacelist) is an asset.
o High attention to detail, confidentiality, and professional demeanor.
