We are a ballet school seeking a studio administrator who's primary role is acting as the first point of contact for clients, managing scheduling and records, and policy enforcement. Training is provided for all responsibilities.
Schedule
- 15-20 hour per week, depending on time of the year. 75% on-site requirement (ex. If 15 hours per week, 2 days on site; if 20 hours per week, 3 days on site).
- One on-site attendance during the annual recital and dress rehearsal (8 hours, end of June).
Responsibilities
- Respond to by phone, text, and email to register clients, make membership changes, and general inquiries in Quo and Gmail.
- Follow up on trial classes and packages to convert prospects into enrolled students and members by calling, texting, and emailing.
- Conduct sales and registration campaigns to parents registering into the seasonal children's program for school year and summer registrations. Campaigns run heavily during July-August and April-May.
- Greet and direct client and attendees at the studio and recitals, control restricted areas in hallways and backstage, and enforce venue and school policies.
- Coordinate with instructors and assign instructor tasks, including student evaluations for adult level transfers in NetGym.
- Manage client data and merge duplicates in Mindbody Business.
- Develop scheduling options based on studio needs and business strategy (will be provided in training) in Google Calendar or alternative.
- Configure approved schedules and closed business days in Mindbody Business.
- Maintain records, invoices, and upload documentation to Google Drive.
- Enforce school policies with clients and staff.
- Liaise with IT support to resolve software errors and submit feature requests.
Advancement
Additional hours may become available for social media and marketing tasks. This work is self-directed; training is not provided, docs for Mindbody Business are publicly available.
- Write and schedule social media posts in Later.com (photo and video assets are provided).
- Produce ad graphics using Canva, Photoshop or alternative.
- Set up and analyze Google Ads, approximately two campaigns per year; keywords are provided.
- Create copy and designs for email templates using BeeFree.io and basic understanding of HTML, and create email marketing campaigns in Mindbody Marketing Suite.
Requirements
- Authorization to work in Canada. Visa sponsorship is not available.
- Bachelor's degree, any field.
- Native or fluent English. Fluency in Russian is preferred.
- 1–2 years of relevant experience in an administrative or client-facing position at a dance studio, arts organization, educational institution, or entertainment industry; or in another sector combined with working knowledge of responsibilites in Advancement.
- Willingness to conduct sustained outbound calls, including cold calls, and enforce policies in situations where clients may object.
