About Us
Montreal Art Therapy Centre (MATC) is a multidisciplinary mental health centre providing psychotherapy, art therapy, play therapy, and counselling services to children, adolescents, adults, families, Indigenous communities, refugees, and diverse populations across Quebec.
We are seeking an experienced, detail-oriented Bookkeeper to support the financial operations of our growing organization. The ideal candidate enjoys structured day-to-day accounting tasks, takes pride in maintaining accurate financial records, and values working in a meaningful healthcare environment.
Responsibilities :
Accounts Receivable
- Track outstanding client balances and accounts receivable
- Monitor late or missed payments
- Follow up on unpaid sessions and outstanding invoices
- Coordinate with administrative staff regarding payment collection
- Maintain accurate records of incoming payments
Accounts Payable
- Process and track payments for:
- Office rent and occupancy costs (multiple locations)
- Software subscriptions (Jane, Google Workspace, etc.)
- Telephone and communication systems
- Office supplies and art therapy materials
- Professional fees and vendor invoices
- Ensure all payments are processed accurately and on time
Contractor and Therapist Payments
- Calculate therapist compensation based on percentage splits
- Track sessions completed by therapists
- Prepare contractor payout summaries (compensation reports)
- Maintain compensation records for independent contractors
- Reconcile therapist payments with reports generated through Jane
Bank and Credit Card Reconciliation
- Reconcile bank accounts and credit card statements
- Match incoming payments and expenses
- Identify and investigate discrepancies
- Ensure transactions are accurately recorded and categorized
Expense Tracking and Financial Administration
- Categorize expenses for accounting and tax purposes
- Maintain organized records of receipts and supporting documentation
- Track expenses related to rent, marketing, software, supplies, and professional services
- Prepare supporting documentation for year-end accounting requirements
Tax Preparation Support
- Assist in organizing financial information for the Centre's accountant
- Prepare income and expense summaries
- Track GST/QST applicability
- Identify taxable and non-taxable transactions
- Maintain accurate records for tax reporting purposes
- Follow ups with CRA and RQ when necessary
Financial Reporting
- Prepare monthly revenue and expense summaries
- Assist with basic financial reporting and budgeting
- Track therapist revenue and productivity metrics
- Support management with financial data and operational reporting
Qualifications
Required
- Canadian diploma (certificate, DEC, or degree in Accounting, Bookkeeping, Finance, or a related field)
- Minimum one (1) year of post-graduate experience in bookkeeping, accounting, accounts payable, accounts receivable, or a related accounting role
- Strong understanding of bookkeeping principles and accounting procedures
- Experience with bank reconciliations and financial recordkeeping
- Excellent attention to detail and organizational skills
- Proficiency with Microsoft Excel and accounting software
- Ability to manage confidential financial information with professionalism and discretion
- Excellent time management skills and ability to work independently without supervision
- Excellent knowledge of Quickbooks
- Bilingualism (English and French)
Assets
- Experience working in healthcare, mental health, medical, wellness, or professional service environments
- Experience with Jane Practice Management Software
- Knowledge of GST/QST requirements
- Experience working with independent contractors and commission-based compensation structures
