Description of Duties
Luther College at the University of Regina (www.luthercollege.edu/university) invites applications for a 9-month full-time term position (commencing as soon as possible until June 30, 2027) in the role of Student Recruitment Officer.
Working within the strategic direction established by the Director of Recruitment, the Student Recruitment Officer supports the implementation and evaluation of recruitment strategies and contributes to the achievement of enrolment and residence occupancy goals for Luther academic programs and The Student Village residence. The role also includes responsibility for structured pipeline development from Luther College High School (LCHS) and the administration of institutional high school partnership awards programs.
The position is accountable for ensuring the effective delivery and performance of recruitment activities. The role exercises sound judgment in managing recruitment operations, stakeholder relationships, and day-to-day decision-making, while consulting with the Director of Recruitment on strategic direction, priority setting, and complex or non-routine matters.
Responsibilities
Recruitment Outreach and Event Delivery
- Represent Luther College at on- and off-campus recruitment events, including education and career fairs, school and community visits, University of Regina events, and other prospective student engagements, promoting both academic programs and The Student Village (TSV) residence.
- Lead the planning and execution of complex, multi-stakeholder recruitment initiatives (e.g., UPrep, Information Night, orientation programs, guest lectures, and institutional visits), ensuring alignment with enrolment and residence objectives.
- Coordinate all logistical components of recruitment events, including scheduling, transportation, stakeholder coordination, registration management, and on-site execution.
- Provide direction to faculty, staff, student ambassadors, and volunteers participating in recruitment activities to ensure effective delivery.
- Provide event planning and delivery support for The Student Village “Brunch and Learn” recruitment events, contributing to academic and residence recruitment and conversion objectives.
Presentations and Student Engagement
- Present the University of Regina Recruitment presentation according to the required script and parameters
- Design, develop, and deliver custom recruitment presentations for diverse audiences, including high school visits, information sessions, and special events.
- Adapt messaging to effectively promote Luther academic programs and TSV residence, using audience insights and recruitment strategies to influence application, enrollment, and residency decisions.
- Represent Luther College at high school graduation ceremonies by presenting entrance scholarships and awards, supporting recruitment messaging, student engagement, and enrollment conversion.
Enrollment Counseling and Student Support
- Serve as a primary point of contact for prospective students, residents, and their families.
- Provide enrollment counseling on academic programs, admissions processes, and residence options, including TSV.
- Guide prospective students through the application and enrollment process, including both academic and residence applications, ensuring timely follow-up and progression to confirmed enrolment and residency.
- Conduct campus tours, including tours of TSV residence, and coordinate customized campus visit experiences to support recruitment objectives.
- Support the recruitment and advising of prospective transfer students by providing guidance on admission pathways, program options, and application processes to support successful transition into Luther College.
- Participate in “Admissions on the Spot” providing real-time enrollment counseling, application guidance, and support for prospective student decision-making.
Residence Recruitment and Occupancy Development (Expanded Scope)
- Actively promote TSV residence as a key component of the Luther student experience.
- Collaborate with the Residence Recruiter to align recruitment strategies, track leads, and assist and support conversion from interest to confirmed residency.
- Integrate residence messaging across recruitment events, presentations, and communications.
- Support and contribute to initiatives aimed at increasing residence occupancy through targeted outreach, engagement strategies, and yield-focused follow-up.
LCHS Pipeline Development (New Strategic Responsibility)
- Develop, implement, and manage a structured recruitment pipeline from Luther College High School (LCHS) to Luther College at the University of Regina and TSV residence, with a focus on improving conversion outcomes.
- Build and maintain strong relationships with LCHS students, families, faculty, and administration to support early engagement and transition planning.
- Design and deliver targeted programming and engagement opportunities for LCHS students to increase awareness, interest, and progression to enrolment and residency.
- Track and monitor LCHS student engagement, applications, and outcomes to inform recruitment strategies and improve pipeline performance.
- Collaborate with LCHS leadership and internal stakeholders to strengthen alignment between secondary and post-secondary recruitment efforts.
Program Management – Partnership Awards (Elevated Scope)
- Own and coordinate the delivery of the Luther College–University of Regina Partnership Awards program
- Develop and manage program communications to prospective students, applicants, and internal stakeholders to support awareness and participation.
- Coordinate the nomination processes, track submissions, and support selection and awarding processes in collaboration with internal partners.
- Monitor program participation and outcomes, providing recommendations to improve effectiveness and alignment with recruitment and enrolment goals.
Systems, Data, CRM Coordination, and Reporting (Integrated and Strengthened)
- Lead the coordination and effective use of recruitment CRM systems (e.g., Slate, Banner, Caspur) to support prospect management, event tracking, and pipeline development across academic, residence, and LCHS streams.
- Ensure data integrity, accuracy, and consistency across systems, supporting reliable tracking of recruitment activities, applications, and conversion outcomes.
- Support the development and refinement of CRM processes and workflows to improve efficiency, reporting, and user experience across the recruitment function.
- Generate, interpret recruitment data to help inform decision-making, evaluate program effectiveness, and support enrolment and residence occupancy goals.
Relationship Management
- Develop and maintain relationships with prospective students, families, schools, and career counsellors to support recruitment pipelines.
- Collaborate with internal partners, including the Student Village Residence Recruiter and University of Regina departments, to ensure coordinated outreach and consistent messaging.
Strategy, Planning, and Continuous Improvement
- Contribute to the development, implementation, and evaluation of recruitment, residence occupancy, and pipeline strategies aligned with institutional enrolment goals.
- Provide recommendations based on field experience, stakeholder feedback, and data analysis.
- Maintain awareness of recruitment trends, student mobility patterns, and the competitive landscape to inform outreach strategies and institutional positioning.
Committees and External Engagement
- Represent Luther College as a member of the Saskatchewan Universities and Technical Institute Liaison (SUTIL), participating in committees, meetings, and collaborative initiatives and act as Post Secondary Education planner for Luther’s assigned regional schools to plan and execute in school SUTIL visits.
- Participate in internal committees and working groups related to recruitment, communications, and event planning.
- Participate in planning and coordination activities for University of Regina recruitment initiatives, including Fall Open House, Spring Preview, and Guidance Counsellor Update events, supporting Luther College’s representation, messaging alignment, and event logistics within broader institutional recruitment efforts.
Operational Coordination and Administration
- Coordinate travel, transportation, and logistics for recruitment initiatives, including faculty and institutional participation in events.
- Respond to phone, email, and in-person inquiries, ensuring accurate, timely, and professional communication.
- Maintain confidential student records and ensure compliance with institutional policies and procedures.
- Identify and resolve operational challenges involving internal and external stakeholders to ensure continuity and effectiveness of recruitment initiatives.
Qualifications
- Completion of an undergraduate degree. Preference will be given to alumni of Luther College at the University of Regina.
- One year of prior work experience, preferably in post-secondary education. Knowledge of higher education practices, including the University of Regina faculties, programs, and services will be considered an asset.
- Comfortable travelling multiple times per month, including overnight stays, and working outside normal operating hours.
- Must possess a valid driver’s license, maintain its eligibility, and meet auto-leasing drivers’ requirements.
- Proven Microsoft Office application skills including advanced skill in Microsoft Word and Excel, and comfort working within various databases and reporting systems.
- Exceptional communication (written and verbal), time management, punctuality, and interpersonal skills.
- Experience managing and organizing a complex calendar, including multiple priorities within a fast-paced and constantly changing environment would be an asset.
- Ability to work productively as both part of a team and independently.
- Ability to meet deadlines and complete assignments with accuracy and a high attention to detail.
- Must be able to carry, lift, and set up small and large display units, audio-visual equipment, and deliver boxes of promotional material.
- Affinity with the goals of Luther College and the small college environment in which flexibility, warmth, and cordiality are necessary and valued.
Association
- The role collaborates with internal and external stakeholders to ensure recruitment initiatives are effectively delivered and aligned with institutional objectives.
- Is routinely in contact with prospective students and parents.
- Is routinely in contact with recruiters from the University of Regina, Campion College, and First Nations University of Canada.
- Maintains working relationships with all operational areas of the College including the Director of Recruitment, College Registrar, Academic Office, faculty, and staff.
Working Conditions
- This is a full-time position with hours of work normally totaling 35 hours per week; however, irregular, and extended hours are required from time to time due to travel and special events, including evenings and weekends.
- The successful candidate will be comfortable with overnight travel, public speaking, and capable of managing complex schedules and multiple priorities in a dynamic environment. This position requires extensive travel, including frequent overnight stays, and involves driving, heavy lifting and transporting recruitment materials, and a combination of on-site and office-based work. Domestic travel is required, with the possibility of some international travel.
Salary and Benefits
The salary range for this position is $66,740 annually.
