DUTIES AND RESPONSIBILITIES
Job Dutie fall into 3 categories:
· Office Management
· Conveyance
· Bookkeeping
A partial list of responsibilities would include:
- Oversee daily office operations to ensure efficiency and productivity.
- Develop, implement, and maintain office policies and procedures
- Ensure office equipment is properly maintained and serviced.
- Provide administrative support to executives
- Prepare reports, correspondence, and other business documents.
- Monitor office expenditures and assist with budget preparation.
- Process invoices and expense reports.
- Open and maintain transaction files for all real estate sales and purchases.
- Maintain accurate records of all transaction activities and documentation.
- Track important contractual dates, conditions, and closing deadlines.
- Ensure all required forms and documents are completed and properly executed.
- Review transaction files for completeness, accuracy, and compliance.
- Record and maintain accurate financial transactions in the accounting system.
- Maintain the general ledger and supporting financial records.
- Ensure all financial documents are properly filed and securely maintained.
- Prepare journal entries and adjust accounts as required.
- Process supplier invoices accurately and on time.
- Verify invoices for accuracy and obtain required approvals.
SKILLS / QUALIFICATIONS NEEDED
1. Excellent Communications Skills – Clear, concise writing and verbal skills in English; with ability to actively listen to client inquiries and internal requests
2. Computer Skills - Strong experience in MS Office and Adobe
3. Experienced - a minimum of 3 years of strong administrative assistant experienced
4. Analytical Skills – Ability to review basic financial data, spot inconsistencies, and troubleshoot problems
5. Education - minimum HS graduate - post secondary training preferred
6. Ability to listen – the ability to listen well and take in feedback from the employee perspective without judgment or discrimination
7. Ability to work independently and within a team environment
