Job Summary
We are seeking a professional and organized Receptionist for our beauty studio to provide exceptional front desk support and ensure a smooth client experience. The ideal candidate will manage appointment scheduling, handle inquiries, and perform administrative tasks with efficiency and a friendly demeanor. This role is vital in creating a welcoming environment for clients and supporting the daily operations of the studio.
Duties
- Greet clients warmly upon arrival and assist with check-in procedures
- Manage multi-line phone systems, answer inquiries, and direct calls appropriately
- Schedule appointments using booking software and confirm upcoming visits
- Maintain accurate records through data entry and filing systems
- Handle client check-outs, process payments, and manage billing using QuickBooks or similar software
- Support administrative tasks such as proofreading documents, organizing files, and managing correspondence
- Assist with inventory management and supply ordering as needed
- Provide excellent customer service by addressing client questions and concerns professionally
- Ensure the reception area remains clean, organized, and welcoming at all times
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer skills with experience in data entry and clerical work
- Familiarity with QuickBooks or bookkeeping software is preferred
- Previous office or administrative experience, especially in a medical or beauty setting, is advantageous
- Excellent customer service skills with professional phone etiquette and organizational abilities
- Ability to handle multi-line phone systems efficiently and courteously
- Strong typing skills with attention to detail for proofreading documents
- Experience in front desk operations, filing, and general administrative support
- Knowledge of dental or medical office procedures is a plus but not required
