We are seeking a dedicated and experienced individual to join our team as a Full-Time Permanent Administrative Office Assistant. This position works closely with the Management team and is ideal for someone who is looking to establish a long-term career with West Coast Metal Recycling. This is a newly formed position and there is room for growth.
- Technology Proficiency: Strong command of office software like MS Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Drive). Social Media experience / familiarity also an asset.
- Organization & Time Management: The ability to juggle multiple tasks, prioritize urgent deadlines, and adapt to changing environments.
- Communication: Excellent verbal and written skills, allowing for professional and polite interaction with the public and stakeholders.
- Knowledge of Sage 50 preferred but not required.
- Education: A high school diploma is required, while post-secondary administrative certifications or a diploma in business administration is highly valued
Answering and redirecting phone lines
Arrange courier pickups and drop offs.
Upload docs to external platforms/portals – MARR program
Updating databases
Draft letters, memos, and reports; prepare meeting agendas; and take detailed meeting minutes.
Assist with recruitment, onboarding and training.
Assist Office Manager with payroll.
Monitor, order and restock office, safety and other supplies as needed
Perform routine checks of staff lunchroom and escalate any issues to Supervisor
Assist with ordering company swag and signage
Coordinate all aspects of ordering/repairing staff uniforms
Double checking shipping paperwork and invoicing as needed.
Possible errands (local pick-ups)
Compliance and record keeping
Oversee and/or perform other duties and projects as needed/assigned by management team.
Update Safety Procedures Manual as needed
Coordinate all aspects of annual Mobile Hearing Tests
Coordinate all aspects of annual Forklift Training
Book of First Aid training
Provide administrative support for the health & safety team
Handle service pickups / dispatch in Cro System
Administer Benefits (Sunlife) Package - onboard/offboard employees, answer employees’ questions
Location: In Office only
Hours: Monday to Friday - 8:30 am to 5:00 pm
Lunch: 30 minutes unpaid
Salary: $26 - 30 per hour => $54 - 62K per year
Vacation: 2 weeks
