A) About the Role-
Cross Cosmic Immigration Services is seeking a detail-oriented and client-focused Case Processing and Operations Coordinator to join our Case Processing team in Mississauga. This role is ideal for someone with hands-on experience in immigration filing, case management, document handling, and front-desk/office coordination.
The successful candidate will play a central role in managing the day-to-day movement of client files — collecting documentation, completing forms accurately, coordinating front desk and office administration, and maintaining clear communication with clients to set proper expectations throughout the filing process. This role is critical in ensuring cases move smoothly from documentation collection through to submission-ready files.This position does not provide immigration advice requiring licensure and will work under the supervision and direction of the Case Processing Manager.
B) Role Information -
Position Type: Full-Time
Location: Onsite – Mississauga (in-office presence required all 5 days)
Reporting To: Case Processing Manager
Compensation: Range of $20-23/hr (Negotiable for experienced candidates ONLY)
Pay Schedule: Bi-Weekly
Education: Minimum Bachelor's Degree in any discipline
C) Key Responsibilities-
Front Desk & Office Administration
- Manage the front desk, greeting clients and visitors professionally.
- Handle day-to-day office administration tasks to keep operations running smoothly.
- Maintain a well-organized, professional office environment.
Document Collection & Form Filling
- Collect required documentation from clients in a timely and organized manner.
- Complete immigration and application forms accurately and consistently.
- Review collected documents for completeness prior to handoff to the filing team.
- Maintain organized digital and physical client records.
Client Interaction & Processing
- Serve as a client-facing point of contact during the documentation and filing stage.
- Communicate clearly with clients to set expectations around timelines, required documents, and next steps.
- Follow up with clients on outstanding documentation and pending items.
- Coordinate with internal teams to ensure timely progression of client files.
Case Management Support
- Support the Case Processing Manager and team with case tracking and file preparation.
- Monitor case milestones, deadlines, and follow-up requirements.
- Apply a basic working knowledge of immigration processes to identify gaps or issues in a file.
- Maintain accurate data entry and case status updates.
D) Qualifications-
Mandatory Requirements
- Filing & Case Management Experience: Minimum 2 years of experience in filing and/or case processing/management.
- Education: Bachelor's Degree or equivalent post-secondary education.
- Communication: Good English proficiency, both written and verbal.
- Client Facing Experience: Experience in client interaction and communication, with the ability to set clear expectations.
- Attention to Detail: Strong accuracy and consistency in documentation and form completion.
- Form Filling: Demonstrated experience completing application and intake forms.
- Process Knowledge: Basic understanding of case processing workflows.
E) Preferred Skills
- Prior experience in an immigration or professional services office setting.
- Familiarity with front desk and general office administration duties.
- Experience with CRM or case management software.
