Nova Skin & Wellness is looking for our next Front Desk & Patient Experience Coordinator
The person clients see first and remember most. This isn't a sit-back-and-answer-phones kind of job. You'll be the heartbeat of the clinic: greeting clients, running the books, keeping treatment rooms spotless and ready, managing inventory, and helping clients say yes to the services and programs that are right for them. What You'll Be Doing
Client Experience & Front Desk
- Welcome clients the moment they walk in and set the tone for their visit
- Manage bookings, rescheduling, and day-to-day scheduling using our online booking platform
- Answer phone and online inquiries, follow up on leads, and help clients choose the right treatment or membership program for their goals
- Check clients in and out, process payments, and keep patient records accurate and up to date
- Support light retail and add-on sales , recommending products and packages that genuinely fit what a client needs
Clinic Flow & Operations
- Handle laundry and general cleaning to keep the clinic looking and feeling immaculate
- Track inventory, place product and supply orders, and keep stock organized
- Coordinate with practitioners to keep the day running smoothly and on time
- Maintain strict client confidentiality and follow all privacy and health regulations
What We're Looking For
- Experience in a medical spa, aesthetics clinic, salon, or similar client-facing role is a big plus
- A natural at making people feel welcome — warm, upbeat, and genuinely people-focused
- Comfortable multitasking in a fast-paced environment without losing the details
- Confident with booking software and basic admin/computer tasks
- Sales-comfortable: not pushy, just able to speak knowledgeably about services and guide clients toward what's right for them
- Doesn't shy away from the "behind the scenes" work — cleaning, laundry, and inventory are just as important to you as the client-facing side
- Reliable, organized, and takes pride in a spotless, well-run space
