Coordonnatrice des services
Le coordonnateur des services soutiendra le gestionnaire des installations dans les opérations quotidiennes.

Gestion de la relation
Communiquez régulièrement avec les employés d'OpCo pour résoudre les problèmes ou les préoccupations, en les transmettant au gestionnaire des installations si nécessaire.
Maintenir la satisfaction des clients avec la prestation des services FM en gérant, traitant, mettant à jour et complétant le travail dans les délais convenus.
Agir en tant que liaison entre le client, le vendeur et le gestionnaire immobilier.

Conformité
Accompagner les entrepreneurs lorsqu'ils sont sur place, en s'assurant qu'ils respectent les politiques du bâtiment, du client et de JLL et en confirmant la prestation de service en s'assurant qu'ils respectent les politiques du bâtiment, du client et de JLL et en confirmant que la prestation du service est correctement effectuée.
Respectez les exigences de la politique en matière de santé et de sécurité pour assurer la sécurité des opérations du bâtiment.

Administratif
Assister le gestionnaire de service dans les tâches quotidiennes et fournir des mises à jour régulières
Examen et approbation rapides et précis de toutes les factures des fournisseurs et suivi en cas d'écarts.
S'assurer que les bons de travail sont gérés à temps conformément aux procédures d'exploitation
Aider à la gestion des COI (certificat d'assurance) et de toute licence nécessaire
Assurer le suivi des problèmes de l'installation et l'assistance
Organiser la sécurité et les laissez-passer de stationnement
Visites d'étage pour identifier et résoudre les problèmes
Assurez-vous que les zones du garde-manger sont propres et que les lave-vaisselle sont vidés.
Commander et stocker des fournitures de bureau et de garde-manger
Distribution du courrier et emballage/expédition
Prendre en charge les demandes de réunion pour inclure l'installation / la panne, les demandes de restauration et le nettoyage
Élimination des gros/petits objets à la poubelle
Soutenir d'autres projets, des affectations spéciales et des tâches administratives assignées

Éducation et expérience
Baccalauréat ou un minimum de trois ans d'expérience dans l'industrie requis
Solides compétences interpersonnelles et de pensée critique
Parlant français et anglais
Excellente communication verbale/écrite
Expérience avérée de fournir un excellent service à la clientèle
Maîtrise de la suite Microsoft Office
Capacité à effectuer plusieurs tâches à la fois et à organiser efficacement les responsabilités pour atteindre les buts et objectifs

Services Coordinator
The Services Coordinator will support the Facilities Manager with day-to-day operations.

Relationship Management
Interface with OpCo employees regularly to address issues or concerns, escalating to the Facilities Manager as necessary.
Maintain client satisfaction with the delivery of FM services by managing, addressing, updating, and completing work within the agreed upon time frame.
Act as a liaison between client, vendor and property manager.

Compliance
Escort contractors when on-site, ensuring they are following building, client, and JLL policies and confirming the service delivery ensuring they are following building, client, and JLL policies and confirming the delivery of the service is completed correctly.
Follow policy requirements regarding health & safety to ensure safe building operations.

Administrative
Assist Service Manager with day-to-day tasks and provide routine updates
Timely and accurate review and approval of all vendor invoices and follow-up where discrepancies are identified.
Ensure work orders are managed on time following operating procedures
Assist with the management of COIs (certificate of insurance) and any necessary licensing
Provide facility issue tracking and support
Organize security and parking passes
Floor walk-throughs to identify and address issues
Ensure the pantry areas are clean, dishwashers are emptied.
Order and stock office and pantry supplies
Mail distribution and packing/shipping
Support meeting requests to include set-up/breakdown, catering requests and clean up
Trash disposal of large/small items
Support other projects, special assignments, and administrative duties assigned

Education and Experience
Bachelor’s Degree or a minimum of three years of industry experience required
Strong interpersonal and critical thinking skills
French and English speaking
Excellent verbal/written communication
Proven record of providing excellent customer service
Proficient in Microsoft Office Suite
Ability to multi-task and effectively organize responsibilities to achieve goals and objectives
