POSITION INFORMATION:
Part-time support opportunity (temporary - PNK): July 2019 to January 2020
Hourly rate: $22.57
Department: Corporate Training Services
Hours: 35 hours per week (8:30 am – 4:30 pm)
Reporting To: Operations Manager
Campus Location: Whitby

DUTIES:
Under the direction of the Operations Manager, the incumbent provides an extensive variety of administrative services to the CTS Leadership team and staff. The incumbent performs reception duties and registration support for incoming CTS students, clientele, and staff.

The incumbent possesses the necessary skills to provide administrative support in the day-to-day operations of CTS, reception skills to address the various students inquires and provide general office support.

Reception:
Provides information and direction to various CTS students, clientele and staff
Acts as initial contact for students, faculty and staff via telephone, email and in person at front desk
Provides program information to prospective clients
Books meeting rooms for staff
Registers participants into the departmental registration management system

General Office:
Provide administrative support to the Corporate Training Management Team
Sourcing and booking of meeting space both on and off campus for events and courses
Schedule recurring departmental meetings, such as Coffee Talks
Record and distribute minutes from departmental meetings
Generate reports on key metrics using departmental data analysis tools including Destiny One, Banner and Fast
Lead CTS departmental Records management
Orders and maintains CTS office supplies
Social media support

Training Support:
Gather participant feedback data across all lines of CTS lines of business
Prepare reports summarizing participant feedback and provide to program area managers
Assembly of course packages and instructor materials for upcoming training
Assist in packing and shipping all required instructor materials/equipment to each location for CTS training sessions.
Track shipments and provide status updates upon request of CTS staff
Completing course evaluations
Communicate training schedules to instructors

QUALIFICATIONS:
Minimum of a two-year diploma in Office Administration.
Minimum two years’ experience in an office environment with a focus on customer service.
Must be proficient in Microsoft Office Suite, including Word, PowerPoint, Excel, Access and Outlook.
Must have excellent time management skills and the ability to multi-task.
Demonstrated ability to work collaboratively with team members and independently.
Evidence of adaptability, flexibility and innovative problem solving skills.
Must be self-directed, motivated and have excellent written, verbal and interpersonal skills.
