Job Description
We are seeking a highly organized, motivated, and entrepreneurial Office Manager to join our management team and help build a new acupuncture school and clinic from the ground up.
This is more than a traditional office management position. The successful candidate will be involved in the early development and day-to-day management of the school and clinic, helping establish systems, processes, operations, and the overall organization as we grow.
This is an excellent opportunity for someone who enjoys taking ownership, solving problems, and being part of building a new organization from its early stages.
Responsibilities
- Be an active member of the management team and assist with launching and growing the acupuncture school and clinic.
- Help develop administrative systems, policies, procedures, and workflows from the ground up.
- Manage and supervise daily office, school, and clinic operations, including scheduling, communication, and workflow.
- Coordinate between management, instructors, practitioners, students, patients, and administrative staff.
- Oversee and maintain office and clinic supplies, equipment, and facilities.
- Support recruitment, onboarding, training, and other HR functions as needed.
- Act as the primary point of contact for external vendors and service providers.
- Prepare reports, presentations, correspondence, and internal documentation.
- Assist with budgets, expense tracking, invoicing, and financial records.
- Help ensure compliance with company policies, procedures, and applicable school and clinic requirements.
- Coordinate meetings, events, student activities, and team initiatives.
- Identify opportunities to improve operations and help implement new systems as the organization grows.
- Take on additional management and operational responsibilities as the school and clinic develop.
Qualifications
- At least one year of experience in an administrative environment is preferred.
- Experience in office management, administration, operations, or a related role is an asset.
- Strong organizational and multitasking abilities.
- Comfortable working in a startup-style environment where systems and processes are still being developed.
- Self-motivated and able to work independently, take initiative, and solve problems.
- Excellent verbal and written communication skills in English.
- Proficiency in Chinese is preferred but not required.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
- Strong attention to detail and ability to manage multiple priorities.
- Ability to work collaboratively as part of a growing management team.
Additional Skills That Are an Asset
These skills are not required, but would be considered a strong bonus:
- Social media management or content creation experience.
- Marketing, advertising, or community outreach experience.
- Photography or videography skills.
- Comfortable using a camera and filming basic social media content.
- Basic video editing or graphic design skills.
- Experience helping grow a new business, school, clinic, or organization.
