Weddings are an important focus for Royal Botanical Gardens. The Assistant Wedding Ceremony Coordinator will take a lead role in promoting, coordinating, planning, facilitating, implementing and evaluating our wedding ceremonies. The coordinator will be responsible for the smooth execution of wedding rehearsals and ceremonies. This is a summer opportunity commencing in late April or early May, requiring approximately 25 to 30 hours per week.

Prepare & organize schedules of upcoming rehearsals, ceremonies, and photography
Coordinate ceremony rehearsals
Manage multiple events at a time
Provide a reliable & responsible relationship with the clients
Be available to be of assistance to client’s request
Troubleshoot unforeseen conflicts
Prepare site with signage, clean area, and help with the guest arrival

Liaise and consult with inside staff, as well as the bride, groom & their family members
Provide clear instructions for required or requested set up

Set and maintain timelines and schedules for rehearsal & ceremonies
Receive and record payments and ensure clients receive receipts
Prepare files on each client
Record feedback and the results from each ceremony

Maintain an environment, which actively supports customer service, innovation and quality
Ensure all safety, security, communications and first aid measures are addressed and adhered to for participant and public safety with regards to events
Direct and assist the coordination of the set up and tear down of events that may include both evening and weekend work
Other duties as required

Available to work Thursday to Sunday with flexibility to work events on other days.
Previous experience in office administration and logistics planning of events
Ability to work in a fast-paced, challenging environment
Excellent public relations, communication and writing skills both orally and in written form are required.
Working knowledge of MS Office (Word, Excel, Outlook, PowerPoint) is required
Standard First Aid and/or CPR certification preferred
Ability to work without supervision and excellent conflict management skills.
Must possess a valid Class G driver’s license
A satisfactory Police Records Check will be required of the successful candidates, at their expense
Smart Serve Certification is an asset
