Executive Assistant (CEO)

Reporting directly to the President and CEO, the Executive Assistant’s role is to support him in all aspects of their responsibilities, including being an effective liaison with various external stakeholders such as the Board of Directors, Investment Bankers, External Auditors as well as Internal Stakeholders across the company and members of the senior management team. The ideal candidate must be proactive, autonomous, resourceful, flexible and capable of preparing meeting materials with minimal supervision. The candidate must have excellent communication skills in both French and English and be able to professionally manage the ebbs and flows of a high-energy environment, supporting the CEO in achieving strategic corporate objectives.

Roles/Tasks & Responsibilities:
Work closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately
Manage and maintain executive calendar of appointments and travel arrangements
Plans, coordinates and ensures the CEO’s schedule is followed and respected. Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the CEO’s time and office.
Arrange and coordinate meetings and events, including scheduling meeting rooms and equipment
Follow-up on deliverables and timelines with teams in various locations
Monitor, respond to and distribute incoming communications
Prepare and edit correspondence, presentations and other sensitive documents
Arrange travel expenses
Receive and interact with incoming visitors; professionally representing the executive team in interactions
Interaction with board members & external stakeholders
Assist with new hires, resignations and tracking of vacation schedules
Assist with special projects and assignments maintaining a high degree of confidentiality
Researches, prioritizes and follows up on incoming issues and concerns addressed to the President, including those of sensitive or confidential nature. Determines appropriate course of action, referral or response
Able to work in a fast-paced environment
Prepare, verify and consolidate executive presentations
Liaise with various management and support functions
Perform other duties as required

Min 8 years of relevant work experience as CEO Executive Assistant Excellent communications skills in French and English (written and spoken)
Solid knowledge of Microsoft Office Suite (Outlook, PowerPoint, Word and Excel)
Strong organizational, strategic and management skills
Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members and external partners
Experience with reservation travel application (Concur)
Knowledge of standard office administrative practices and procedure
Post-secondary education
Ideally, understanding of Financial reporting calendars and/or corporate secretary responsibilities
Experience managing workflow through Diligence platform a plus
