Position Overview
We are seeking a professional, high-energy, and organized Full-Time Reception and Administrative Assistant. This dual role requires a master multitasker who can seamlessly manage a high-volume, multi-line phone system while handling essential administrative, data entry, and accounting support tasks for our sales, service, and finance departments.
Key ResponsibilitiesReception & Customer Experience
- First Impressions: Greet showroom guests with a warm, professional demeanor and direct them to the appropriate sales, finance, or service team member.
- Inbound Calls: Manage a multi-line switchboard, routing incoming calls efficiently and taking accurate messages when necessary.
- Showroom Hospitality: Ensure the customer lounge and reception areas are kept clean, organized, and stocked with refreshments.
Administrative & Dealership Support
- Data Entry & Filing: Organize, scan, and file vehicle deal jackets, service records, and factory invoices.
- Mail & Couriers: Manage incoming/outgoing mail, courier packages, and distribution of internal documents.
- Inventory Assistance: Help input new and pre-owned vehicle data into the dealership management system (DMS) and print window stickers or compliance labels.
- Transaction Processing: Accept and process customer payments (cash, debit, credit) for vehicle deposits or administrative fees, ensuring accurate receipting.
- General Admin: Assist the Management team and Controller with ad-hoc projects, reports, and office supply inventory.
Qualifications & Skills
- Experience: Minimum 1–2 years of experience in a front-desk reception, administrative, or customer-facing role (dealership experience is an asset, but not required).
- Communication: Exceptional verbal and written communication skills with a professional phone etiquette.
- Tech-Savvy: Proficiency with Microsoft Office Suite (Word, Excel, Outlook). Experience with automotive software (like CDK, Reynolds & Reynolds, or PBS) is a major plus.
- Multitasking: Proven ability to manage competing priorities in a fast-paced environment without losing attention to detail.
- Reliability: Punctual, dependable, and able to work independently as well as collaboratively with a diverse team.
- Background Check: Must be willing to undergo a standard criminal record check.
