Position Summary
Performs reception duties while providing basic administrative support functions such as word processing, data entry, and building-related clerical tasks. Supports a welcoming environment for clients, families and visitors at reception. Serves as face of the organization and upholds the Centre’s values of hope, kindness, collaboration, innovation, and family centered.
Responsibilities

Reception Services: Operates a switchboard, re-direct calls, receives visitors, and responds to general in-person and telephone inquiries.

Client Assistance: Assists with client appointment check-ins and confirming appointments. Monitors reception general email inbox. Ensure client and vendors inquiries and concerns are addressed in a timely and professional manner. Escalates client service or operational issues to supervisor.

Administrative Support: Performs general word processing and data entry, including typing correspondence and reports from rough drafts or general instructions.

Record Management: Maintains accurate and confidential client records in accordance to organization policies and procedures.

Mail & Logistics: Receives, records, and distributes incoming/outgoing mail, faxes, and courier documents; signs for receipt of packages and shipments.

Building Operations: Performs general office functions such as booking and setting up meeting rooms and maintaining a stock of supplies in therapy rooms. Ensures safe and clean office environment for staff and clients.

Office Maintenance: Operates and maintains postal meter, photocopiers, fax machine. Performs minor maintenance such as loading paper, clearing jams, and monitoring ink supplies.

Office Presence: 4 days per week.
Qualifications

Education: Grade 12 graduation.

Training: Completion of an Office Assistant Certificate.

Experience: Recent, related experience of six months, or an equivalent combination of education and training.

Typing Speed: Ability to type at 50 wpm.

Communication: Ability to communicate effectively both verbally and in writing.

Office Proficiency: Knowledge of Business English and general office procedures.

Organization: Ability to organize and prioritize daily tasks.

Collaboration: Ability to work independently and cooperatively with others.

Technical Skills: Ability to operate related office equipment.

Physical Ability: Physical ability to carry out the duties of the position.
