Employment type: Full-time with benefits, an average 37.5 hrs /week on site at Hospice Wellington, Guelph. Some evenings and occasional weekend work as needed. Current office hours of operation are Monday to Friday 8:30 a.m. to 4:30 p.m. Eastern Time.
Are you an organized, detail-oriented professional with a heart for compassionate care? Hospice Wellington is seeking a dedicated Administrative Support professional to act as the vital link for our Board of Directors. Reporting to the Executive Director, you will play a meaningful behind-the-scenes part in our mission, ensuring our leadership team has the seamless coordination, governance support, and clear communication necessary to guide our hospice palliative care initiatives.
If you excel at managing details and want to contribute to a cause that truly matters, we would love to welcome you to the team. Hospice Wellington serves three audiences – people with an end-of-life diagnosis, their caregivers, and people dealing with grief anywhere in Guelph-Wellington.
This is a full-time position, 37.5 hours a week, working from the Hospice Wellington office at 795 Scottsdale Dr. in Guelph. Occasional evening and weekend work for Hospice Wellington meetings and events will be required as necessary. The duties of this job are subject to change.
Key Responsibilities include:
· Governance Support: Coordinate board meetings, committee sessions, and annual general meetings.
· Minute-Taking: Record accurate, high-quality minutes and track action items during board meetings.
· Communication Link: Manage all correspondence between directors, executive leadership, and stakeholders.
· Information Management: Maintain secure, confidential digital archives of governance documents and bylaws.
· Administrative support to the organization as needed: Information technology and equipment set up
· Annual Insurance renewal
· Sharepoint administration for the organization (support with files, policies, protocols)
· Coordination of Quarterly Full Staff meetings for the organization (agenda, minutes, event preparation)
· Other duties and special projects as assigned by Executive Director
Qualifications:
· Experience: Minimum 3 years of administrative experience, preferably supporting executives or a board in a non-profit organization
· knowledge of governance practices for non-profit board of directors
· Technical Proficiency: Master Microsoft Office 365, Google Workspace, and board portal software (e.g., Sharepoint).
· Sector knowledge: Previous experience in healthcare, hospice or non-profit sectors is highly valued
· Self-motivated, organized, attention to detail, rapid turn arounds with information delivery
· Police Check required
