What you’ll be doing
As a Corporate Legal Assistant, you will provide proactive and high-quality support to assigned lawyers and their clients, including:
- Coordinating travel arrangements, itineraries, and travel expense reports.
- Supporting LSUC renewals and CPD tracking.
- Maintaining lawyer bios and coordinating internal and external conferences.
- Preparing client correspondence and maintaining accurate client contact information.
- Coordinating client meetings, boardrooms, catering, and audio-visual requirements.
- Managing calendars, appointments, deadlines, and client-related activities.
- Maintaining tickler and reminder systems to ensure timely follow-up.
- Managing incoming mail, email, calls, courier, and messenger services.
- Responding to routine client inquiries and directing requests as required.
- Providing backup support to other Legal Practice Assistants when required.
- Collaborating with Document Specialists, Support Assistants, Marketing, Facilities, and other departments.
- Supporting engagement letters, matter intake, conflict searches, and new file openings.
- Maintaining organized physical and electronic files within the firm’s document management system.
- Supporting billing and financial management, including docketing, WIP, prebills, invoices, cheque requisitions, and billing reports.
- Monitoring alternative fee arrangements, special billing rates, discounts, and budget thresholds.
- Supporting pitches and RFPs, including coordinating lawyer bios, billing rates, and supporting materials.
- Assisting with matter and project management, including tracking project deliverables and budget information.
What you bring
- 5+ years of related experience, preferably within a law firm or professional services environment.
- A Legal Assistant diploma or post-secondary degree/diploma in Office Administration.
- Strong knowledge of legal terminology, documents, and procedures.
- Proficiency with Microsoft Office and legal technology.
- Experience with billing, docketing, document management, and/or financial systems.
- Strong client service orientation and the ability to manage multiple priorities simultaneously.
- Excellent written, verbal, and interpersonal communication skills.
- Exceptional organizational skills, attention to detail, and follow-up abilities.
- A proactive approach with the ability to anticipate needs and take initiative.
- Ability to work independently while also contributing effectively within a collaborative team environment.
- Ability to thrive in a fast-paced, high-pressure environment.
- Professionalism and discretion when handling sensitive and confidential information.
- Flexibility to work occasional overtime when required.
