Description

Reporting to the Operations Manager, Blue Flame Kitchen, the Administrative Assistant is responsible for providing general office support toe the Blue Flame Kitchen Teams. The incumbent will effectively manage the group’s day-to-day administrative requirements independently and through the application of sound knowledge of the business, strong technical skills and good judgment.

Responsibilities

  • Proactively co-ordinates the group’s day-to-day administrative requirements by managing calendars, incoming mail and meetings through the application of strong organizational skills.
  • Prepares presentations and reports of exceptional quality with minimal supervision.
  • Anticipates the group’s needs and makes decisions to contribute to an organized work environment.
  • Contributes to the group through the application of well-developed skills in Excel, PowerPoint, Publisher, and Word.
  • Provides administrative support for several ongoing processes:
  • Assist with new employee hires (i.e. security badges; coordination of IT equipment; onboarding admin)
  • Blue Flame Kitchen Timekeeper Accountabilities
  • Vacation tracking and support
  • Time card entry coding, historical edits, reports, select time audits
  • Private Event and Catering Support
  • Manage general inquiries about private events at the Blue Flame Kitchen Learning Centre
  • Answer line inquiries about private events
  • Contact person for online inquiries about private events
  • Assist with Café catering requests
  • Assist with management and maintenance of Founders room bookings
  • Complete and send the weekly Blue Flame Kitchen update
  • Establishes and maintains positive, productive working relationships with internal and external parties.
  • Manages these relationships in a manner that facilitates a positive corporate image in alignment with corporate values.
  • Contact Wipro when printers and other equipment are not working, orders cartridges, etc.
  • Ready desk space for new employees, wipe down and stock with essentials
  • Maintain supply room; manage inventory and order supplies when running low for both Calgary locations
  • Mail distribution for the floor and manages couriers
  • Maintains administrative process documentation
  • Provides administrative support for several ongoing processes:
  • Weekly accounting reporting for BFK teams
  • Inspyrus invoice coding
  • Assistance with set up and executing with the month/quarter end metrics, gross margin, costing, and deliverables reporting for Blue Flame Kitchen Learning Centre and Café
  • Monthly BFK credit card statements

Qualifications

  • High School diploma required.
  • Business Administration courses preferred.
  • 1-3 years’ experience in Administrative support role
  • Strong competency in Word, Excel, and PowerPoint.
  • Proficient user of computer software applications, including spreadsheets. Aptitude for learning applications and related processes
  • Strong interpersonal skills and are capable of building and maintaining productive and supportive working relationships.
  • Demonstrated ability to work independently, and take initiative, all while working as part of a team.
  • Ability to multi-task and work within a fast-paced environment while remaining flexible and steadfast.
  • Ability to prioritize conflicting demands across a cross-functional team.
  • Ability to analyze, make decisions and provide recommendations when necessary. Sound judgment of when to escalate matters and request additional support.
