The Carol Foderick Real Estate Group (CFREG) is seeking a highly organized, people-focused Director of Listing Services to join our dynamic, growth-driven group. As Director of Listing Services, you'll manage listing coordination for a high volume of sale and lease properties in a fast-paced, collaborative environment, ensuring that both our clients and agents feel supported, informed, and cared for from start to finish. This role requires exceptional organizational and communication skills, as well as the ability to strategically prioritize competing tasks while maintaining accuracy and momentum. About the Role
- Collect and review listing documents from agents (listing agreements, disclosures, seller information)
- Ensure all paperwork is complete, accurate, and compliant with brokerage and legal requirements
- Set up new listings in the brokerage's transaction management systems
- Input and activate listings on the MLS system
- Upload photos, floor plans, and property descriptions
- Coordinate with photographers, videographers, home inspectors, stagers, and other trades as needed
- Ensure listing details are accurate and consistent across MLS and the brokerage website
- Act as the main point of contact between agents, sellers, and administrative staff for listing-related questions
- Send status updates to agents and clients throughout the listing period
- Maintain organized digital files for each listing
- Track important dates (listing expiry, renewal deadlines, condition dates)
- Ensure all documentation meets brokerage, board, and legal compliance standards
- Update listing status changes (price changes, conditional sales, sold, expired, withdrawn)
Qualifications
- Advanced knowledge with TRREB systems and PropTx processes
- Advanced knowledge of WebForms
- Confident, high-volume use of Authentisign
- Exceptional organizational skills and attention to detail
- Ability to thrive in a high-volume, fast-paced, professional environment
- Able to stay calm under pressure and problem-solve effectively.
- Must be a self-starter and able to work independently
- Training is required to be in person at our Scarborough office
Work Environment
This role can be performed remotely or in-office at our South Scarborough headquarters, where we are known for our strong culture, collaboration, and genuine respect for one another. In-office training will be required.You will be joining an existing team of 7 experienced administrators in an environment where professionalism, efficiency, and teamwork are non-negotiable, and where people truly enjoy working together.
