We are looking for a confident, organized, and responsive Leasing Appointment Setter to join our team. This role is focused on managing prospective tenant inquiries across multiple rental platforms, providing basic information about available properties, following up quickly with interested renters, and booking prospects in for property tours.
Success in this role depends on fast response times, strong follow-up, accurate coordination, and the ability to convert rental inquiries into booked tours.
As part of this role, the successful candidate will also be responsible for helping create and maintain a clear appointment-setting SOP for future hires. As VMH Properties continues to grow, this position is intended to help establish repeatable systems, improve leasing coordination, and support the future development of the appointment-setting department.

Position Overview
The Leasing Appointment Setter will be responsible for responding to prospective tenant inquiries across various rental platforms, following up with interested renters, answering basic questions about available and vacant rental properties, and booking prospects in for property tours.
This role also acts as a coordination point for a team of approximately 5–6 leasing agents who are in the field conducting showings. The Leasing Appointment Setter will help manage tour scheduling, communicate appointment details, update lead notes, and ensure prospects are connected with the appropriate leasing agent in a timely and organized manner.
A key part of this role will be documenting the appointment-setting process as it is built, including scripts, follow-up cadence, CRM notes, booking steps, and communication standards for future hires.
As the department grows, this role may develop into a Leasing Coordination Lead or Appointment Setting Manager position responsible for helping train, support, and oversee future appointment setters.
This is an excellent opportunity for someone who enjoys speaking with people, is comfortable managing a high volume of inquiries, can provide fast and professional follow-up to prospective tenants, and is interested in helping build the systems behind a growing leasing department.
Key Responsibilities
- Respond to inquiries from prospective tenants across multiple rental platforms, including Zumper, Rentals.ca, Facebook Marketplace, Kijiji, and other listing sources
- Answer incoming prospective tenant calls and follow up with interested renters by phone, text, and email
- Provide basic information about available and upcoming rental properties
- Answer general questions about rent, location, availability, property features, and tour options
- Ask basic qualifying questions to understand each prospect’s needs, timeline, budget, and preferred location
- Book prospective tenants in for property tours and showings
- Coordinate tour schedules with leasing staff and internal team members
- Act as a coordination point for approximately 5–6 leasing agents in the field
- Maintain accurate notes, lead status updates, and follow-up records in the company CRM or leasing system
- Ensure lead information, appointment times, property details, and leasing agent assignments are recorded accurately
- Follow up with prospects who have not yet booked or attended a tour
- Communicate professionally with prospective tenants, leasing staff, and team members
- Communicate with all prospective tenants professionally, consistently, and in accordance with company leasing standards
- Help reduce vacancy by supporting timely lead response and tour booking
- Work toward appointment-setting, follow-up, and leasing conversion targets
- Track lead response times, booked tours, attended tours, and lease conversion results
- Create, document, and maintain an appointment-setting SOP for future hires
- Document effective scripts, follow-up processes, booking procedures, CRM expectations, and lead management standards
- Identify opportunities to improve the inquiry-to-tour booking process
- Support future training and onboarding of additional appointment setters as the company grows
Qualifications
- Previous experience in appointment setting, leasing, customer service, sales, call centre work, or administrative support is an asset
- Strong verbal and written communication skills
- Comfortable making and receiving phone calls, texts, and emails
- Professional, friendly, and helpful communication style
- Organized and able to manage multiple inquiries and follow-ups at once
- Ability to respond quickly and professionally to a high volume of rental inquiries
- Comfortable with repetitive follow-up, unanswered messages, rescheduling, and maintaining persistence with prospective tenants
- Strong attention to detail when recording lead information, appointment times, property details, and leasing agent assignments
- Comfortable using computers, email, calendars, rental platforms, and CRM systems
- Self-motivated, reliable, and results-oriented
- Ability to document processes clearly and help improve internal systems
- Comfortable following procedures while also identifying ways to improve them
- Must be available to work Tuesday to Saturday, 9:30 AM to 6:00 PM
- Interest in growing into a future leadership, supervisory, or managerial role is an asset
- Ability to work in a fast-paced environment
- Knowledge of Southwestern Ontario rental markets is an asset
- Real estate, leasing, or property management experience is an asset but not required

You are personable, organized, responsive, and comfortable communicating with prospective tenants throughout the rental inquiry process. You are reliable, detail-oriented, and understand the importance of fast, professional follow-up when helping fill vacant rental properties.
You are comfortable managing inquiries from multiple rental platforms, asking basic qualifying questions, following up consistently, and booking prospective tenants in for property tours.
You are not discouraged by unanswered calls, missed appointments, repetitive follow-up, or rescheduling. Instead, you understand that consistent follow-up, clear communication, and strong organization are key to converting rental inquiries into successful showings and signed leases.
You are also process-minded and capable of documenting what works. In addition to handling day-to-day appointment-setting responsibilities, you will help create the systems, scripts, follow-up standards, and procedures that future appointment setters will use as the department grows.
For someone with strong performance, organization, and leadership potential, this role may grow into a future Leasing Coordination Lead or Appointment Setting Manager position within the leasing department.
