Role Summary
We are seeking a Client Services Manager to join our team in Toronto. This pivotal role involves overseeing client relationships and ensuring the successful delivery of marketing campaigns, aligning with our company's mission to provide exceptional marketing solutions.
Responsibilities
- Manage and maintain strong client relationships by understanding client needs, project goals, timelines, brand requirements, and service expectations.
- Act as a senior point of contact for client questions, urgent requests, concerns, and escalations, ensuring issues are handled quickly and professionally.
- Oversee print, direct mail, marketing production, fulfilment, promotional, and related client projects from intake to completion.
- Review project specifications to ensure all details are complete and accurate, including quantities, formats, paper, finishing, personalization, inserts, mailing details, delivery instructions, and deadlines.
- Ensure estimates, work orders, proofs, client approvals, production instructions, mailing instructions, and project changes are properly documented and communicated.
- Support direct mail projects by coordinating data files, addressing, personalization, versioning, insertion, mailing preparation, postal requirements, and delivery timelines.
- Work closely with production, estimating, purchasing, warehouse, fulfilment, mailing, sales, design, and accounting teams to ensure projects move through the company smoothly.
- Lead production meetings, update production boards, review active jobs, identify priorities, and communicate risks, delays, or changes to the appropriate teams.
- Train, mentor, and support Client Services Representatives and Marketing Coordinators, while helping prioritize workload and maintain strong service standards.
- Pull reports from Zoho, monitor department performance, identify workflow concerns or service issues, and recommend improvements to increase accuracy, efficiency, and client satisfaction.
Qualifications
- 3 to 5 years of experience in client services, account management, project coordination, or production coordination within a print, direct mail, marketing production, or related environment.
- Direct mail experience is required, including knowledge of data files, addressing, personalization, versioning, insertion, mailing preparation, postal requirements, and delivery timelines.
- Commercial print experience is required, including understanding of print specifications, proofs, approvals, paper, finishing, production timelines, and quality control.
- Previous leadership, supervisory, training, or mentoring experience is preferred.
- Strong ability to manage multiple client projects at the same time while maintaining accuracy and attention to detail.
- Excellent written and verbal communication skills, with the ability to communicate clearly with clients, production teams, vendors, and internal departments.
- Strong problem-solving skills and ability to resolve client service or production issues quickly and professionally.
- Highly organized, proactive, and able to work in a fast-paced environment with changing priorities and tight deadlines.
- Experience with Zoho or other customer relationship, project management, or order management systems is an asset.
- Professional, client-focused, and able to support a positive, accountable, and service-oriented team environment.
Compensation: $65,000–$75,000 per year, based on experience and qualifications.
