About the Role
We are seeking an organized, empathetic, and detail-oriented Client Care Coordinator with prior administrative or client service experience to join our team part-time. In this role, you will be the primary point of contact for our clients, ensuring they receive exceptional service, seamless appointment scheduling, and warm, professional care from start to finish.
Key Responsibilities
Client Engagement: Greet incoming clients, answer phone calls, and respond to email inquiries with warmth and professionalism.
Scheduling & Intake: Coordinate and manage appointment calendars, conduct initial client intakes, and handle appointment confirmations and follow-ups.
Client Care & Records: Maintain accurate client records, file documentation, and ensure all client files remain updated and compliant with confidentiality standards.
Administrative Support: Process client billing/payments, manage incoming and outgoing communications, and assist with daily clinic or office workflow.
Service Coordination: Serve as a bridge between clients and internal care providers to ensure smooth service delivery and address any client concerns promptly.
Qualifications & Skills
Experience: 1–3 years of experience in administrative, receptionist, or customer care roles (experience in medical, health, or professional service office environments preferred).
Communication: Exceptional verbal and written communication skills with strong active listening abilities.
Tech-Savvy: Proficiency with client management databases/EHR software, Microsoft Office / Google Workspace, and scheduling tools.
Organization: Outstanding time-management skills with the ability to multitask and prioritize in a fast-paced environment.
Interpersonal Skills: Warm, friendly demeanor with a genuine passion for delivering compassionate care to clients.
Pay: $15.35-$31.79 per hour
