The Patient Records Release Assistant is a detail-oriented and privacy-conscious individual to support the release of patient health records. This role requires thorough understanding of Ontario's Personal Health Information Protection Act (PHIPA) as well as guidelines from the College of Physicians and Surgeons of Ontario (CPSO) and the Ontario Medical Association (OMA). This position will play a key role in ensuring that all requests for personal health information are processed securely, ethically and in compliance with applicable legislation and professional standards.
Key Responsibilities:
1. Process and fufill requests for access to patient health records in accordance with PHIPA, CPSO and OMA guidelines.
2. Verify identity and consent documentation, including substitute decision-makers.
3. Prepare and release records via secure methods (e.g. encrypted email, courier, etc.).
4. Maintain accurate logs of requests, disclosures and communications.
5. Respond to inquiries regarding access procedures, fees and timelines.
6. Liaise with privacy officers, legal representatives and other stakeholders as needed.
7. Ensure confidentiality and security of all personal health information throughout the release process.
Qualifications
Education:
- Community College Diploma in Medical Office Administration.
Experience:
- 2 years' administrative experience providing customer service within a healthcare setting.
- Demonstrated knowledge of PHIPA.
- Familiarity with OMA guidelines for medical record release and CPSO standards for protecting personal health information.
Skills, Abilities & Expertise:

- Proficiency in using an electronic health record (EHR) and the ability to learn and use different software programs
- Experience in healthcare or wellness settings
- An understanding of Health Services internal Privacy Policy as well as the Personal Health Information Protection Act
- Knowledge of general medical office procedures.
- Ability to follow formal business practices with high attention to detail
- Ability to employ a systematic and efficient approach to work
- Computer skills with the ability to learn and use software programs
- Basic computer skills in Microsoft Office Suite and electronic medical records software
- Personable and courteous in working relationships with colleagues, students and the public
