StaffingPedia is hiring a Technical Support & IT Director Assistant for a 6-month fixed-term contract with our client in Calgary, Alberta.
This is a fully onsite role requiring 5 days per week at the client location. The position offers $40.00 to $50.00 per hour and has a very high chance of extension or conversion to a permanent position based on performance, business needs, and client requirements.
This role is expected to be approximately 75% IT operations support and 25% administrative and coordination support to the Director of IT & Cyber Security.
Job Summary
The Technical Support & IT Director Assistant will provide day-to-day technical support, IT operations coordination, and administrative support to the Director of IT & Cyber Security.
The primary focus of this role will be hands-on technical support, user support, workstation setup, basic troubleshooting, IT asset tracking, procurement coordination, vendor follow-up, documentation, and security/access support.
In addition, the candidate will assist the IT Director with scheduling, meeting coordination, reporting, presentations, documentation, action-item tracking, and executive-level administrative support.
The successful candidate must be technically comfortable, highly organized, detail-oriented, and able to communicate professionally with executives, vendors, internal teams, and business stakeholders.
Key Responsibilities Technical Support & IT Operations — Approximately 75%
- Provide day-to-day technical support for internal users, including hardware, software, workstation, and basic network-related troubleshooting.
- Assist with workstation setup, equipment configuration, user onboarding support, access requests, and general IT support activities.
- Support technology procurement, including hardware, software, IT services, renewals, and related vendor coordination.
- Maintain IT asset records, track equipment inventory, update system details, and coordinate maintenance activities.
- Assist with software updates, hardware maintenance, patching schedules, and IT operational tasks.
- Help ensure IT equipment, systems, and software are properly maintained, updated, and aligned with internal standards.
- Support employee access management, including user account setup, password resets, access changes, MFA coordination, and access removal.
- Assist with IT security and compliance activities related to access control, data protection, system access, and operational procedures.
- Coordinate with third-party vendors and service providers for support tickets, technical escalations, procurement issues, and service follow-ups.
- Assist in creating and maintaining IT documentation, including system configurations, support guides, troubleshooting steps, process documents, and basic network diagrams.
- Track and update IT operational reports, service records, budgets, project timelines, and support-related documents.
IT Director Administrative & Coordination Support — Approximately 25%
- Provide administrative and coordination support to the Director of IT & Cyber Security.
- Manage calendars, schedule meetings, coordinate travel arrangements, and track follow-up items.
- Assist in preparing presentations, reports, meeting materials, and documentation for IT leadership meetings, board meetings, and executive communications.
- Organize IT department meetings, prepare agendas, record meeting minutes, and track action items.
- Act as a point of contact for internal and external inquiries directed to IT leadership.
- Maintain project documentation, meeting notes, status updates, and action registers.
- Communicate IT updates, priorities, timelines, and operational notices to relevant stakeholders.
- Support confidential communication, documentation, and coordination activities with professionalism and discretion.
Project Coordination
- Support the IT Director in coordinating IT projects from planning through execution.
- Track project timelines, deliverables, resources, dependencies, and milestones.
- Maintain project status updates, documentation, schedules, and follow-up registers.
- Communicate project updates to stakeholders and coordinate with relevant departments to support alignment.
- Assist with budget tracking, reporting, scheduling, vendor coordination, and project follow-up activities.
Vendor Management
- Coordinate with third-party vendors, service providers, and technology partners.
- Assist with contract tracking, renewals, service agreements, purchase requests, and support escalations.
- Monitor vendor-related issues, support tickets, procurement concerns, and follow-up items.
- Support communication between vendors, IT leadership, internal teams, and business stakeholders.
Required Skills & Qualifications
- Solid understanding of IT infrastructure, including operating systems, hardware, software, workstations, and basic network components.
- Experience providing technical support, IT operations support, IT administration, help desk support, desktop support, or technical coordination.
- Ability to troubleshoot basic hardware, software, workstation, printer, connectivity, and user access issues.
- Familiarity with IT service management tools, ticketing systems, project tracking tools, or similar platforms.
- Experience with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
- Strong organizational skills with the ability to manage multiple priorities, deadlines, and follow-up items.
- Ability to prepare clear reports, presentations, meeting notes, operational documentation, and status updates.
- Excellent written and verbal communication skills.
- Ability to work professionally with executives, vendors, internal teams, and business stakeholders.
- Strong attention to detail, accuracy, confidentiality, and follow-through.
- Comfortable working in a fully onsite environment in Calgary, Alberta.
Preferred Qualifications
- Previous experience in IT technical support, desktop support, IT operations, IT administration, or service desk support.
- Previous experience supporting an IT Director, CIO, CISO, Cyber Security leader, or senior technology executive is an asset.
- Experience with IT procurement, vendor coordination, asset management, or contract renewal tracking.
- Exposure to cyber security administration, access management, MFA, or compliance support.
- Experience with ITSM tools, ticketing systems, SharePoint, Microsoft 365, Teams, or project management platforms.
- Experience preparing executive reports, dashboards, project updates, or meeting documentation.
- Prior experience in a corporate, public sector, enterprise, or regulated environment is an asset.
