VO2 Master is a Vernon, BC–based technology company that researches, manufactures, and sells the world’s first truly portable metabolic analyzer. Our products help clients and businesses optimize performance and health.
We are growing and looking for a highly organized, detail-oriented Administrative Assistant to join our Customer Success team. This role is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and takes pride in keeping operations running smoothly.
Training and mentorship will be provided. You’ll work closely with multiple departments across the organization.
Position Overview
The Administrative Assistant plays a key role in shipping logistics and administrative processes. This position requires strong organizational skills, excellent communication, and confidence working with software systems, logistics, and customer-facing tasks.

Pay: CA $50,000-$57,000 per year salaried
Hours: Mon-Fri, 0800-1630 FT time position (40 hours /week; 30 mins for lunch per day)

Key Responsibilities
General Administration
- Answer incoming phone calls and direct inquiries to the appropriate team members
- Process credit card payments by phone
- Perform bookkeeping entries in QuickBooks
- Create and manage PayPal invoices
- Conduct sales audits and maintain accurate records
- Process online and web-based orders
- Create invoices for purchase orders
- Maintain organized digital records and documentation
- Electronic filing of receipts
Shipping & Logistics Coordination
- Oversee daily shipping operations and perform quality assurance checks
- Coordinate with UPS, FedEx, and other carriers to resolve delivery issues and shipment delays
- Assist with customs clearance activities for international shipments
- Track and dispute shipping-related charges and tariffs when necessary
- Process and pay courier invoices across departments
- Prepare monthly shipping summaries for accounting
- Communicate fulfillment timelines to customers and partners
- Maintain and update standard operating procedures (SOPs)
- Support shipping coverage when needed, including packaging and label generation
- Learn and navigate international shipping restrictions and logistics requirements
CRM & Team Support
- Maintain accurate records within the company CRM system
- Track shipments, service tickets, and customer interactions
- Coordinate with Customer Success, Sales, R&D, Manufacturing, and Service teams to support company initiatives
Qualifications & Experience
Required
- Diploma or bachelor’s degree in administration, business, or a related field
- Minimum 1 year of experience in an administrative or office support role
- Strong computer literacy and ability to quickly learn new systems and software
- Excellent organizational and communication skills
- Ability to multitask and manage priorities effectively
- Comfortable working both independently and as part of a team
Preferred
- Experience in customer-facing roles
- Familiarity with QuickBooks, CRM systems, or shipping/logistics platforms
- Experience supporting operational or logistics workflows
