Edison Properties is a property management company that has been in business for over 50 years providing apartments for rent ranging from cozy and comfortable bachelor apartments to luxurious penthouse suites in the Winnipeg market.
The Commercial Property Administrator is responsible for the supporting the Director of Commercial Property and Leasing in management of all commercial real estate and is involved in all aspects of day-to day operations of the properties, including accounting, leasing, tenant relations, maintenance and repair, security, and parking.
Contract Administration
- Monitors rental arrears, prepares notifications, demand, and default notices, and follows up with tenants to ensure timely payment of the monthly rent is received.
- Responsible for tenant setups in Yardi software.
- Monitor the collection process to ensure all rents are collected on time.
- Provides first-level contact with customers who are behind in rent and escalates as necessary to the Director.
- Prepares new and renewal lease agreements using the company template
Customer Support
- Responsible for functions related to the upkeep of electronic files and documentation related to tenants and properties.
- Prepare, distribute, and manage various correspondence to tenants including building memos, and other communication as necessary.
- Prepares and processes contracts and work orders for services related to property management such as snow removal, landscaping, building maintenance, utilities, and parking.
- Prepares various monthly reports as required.
- Follows up on work requests to ensure progress/completion while determining whether costs are a building or tenant expense.
- Sustain tenant satisfaction with timely and professional communication.
- Access control system. Issues and manages proper access allocation to Edison employees, commercial tenants, and third-party contractors.
- Tracks critical timelines such as insurance certificates for vendors and tenants, annual payments, budgets, CAM reconciliations, and financial statements.
- Administration of commercial monthly parkers, rent collection, parking pass assignments, and parking validation
Reporting and Accounting Functions
- Assists with accounts payable, receivables, general ledgers, and invoice coding.
- Generates, administers, and manages invoices and purchase orders as required.
- Assists in annual budget preparation and delivery of year-end operating costs reconciliation to tenants.
- Assists the Director as required.
1. Education: High School Graduate or Equivalent.
2. Require 3-5 years of experience within Commercial Property administrative roles.
3. Courses from the Building Owners and Managers Association of Manitoba would be an asset.
4. Clear Criminal Records Check and Vulnerable Sector Check required and to be maintained.
5. Word and Excel proficient.
6. Having experience in working with property management software, specifically Yardi, is mandatory.
7. Customer Service Focused.
